[Key Tasks & Responsibilities]

● ベンダーマネージメント

○ 設備保守サービス(例:HVAC、UPS、消防設備、ビル管理システ

ム(BMS))を提供するベンダーマネージメント

○ 日程、点検の調整、パフォーマンス評価を含むベンダーマネージ

メント

○ 契約交渉、経費、予算管理のサポート

● ヘルプデスク&サービスリクエスト

○ 設備に関するヘルプデスク業務(例:機器の故障、メンテナンスリ

クエスト)、ユーザーからのリクエストへの対応

○ リクエストに優先順位を付け、適切なベンダーまたはチーム内で

の連携

○ リクエストの解決状況のトラッキングおよびモニタリング

● 安全・コンプライアンス

○ ベンダーから提出された作業申請のレビューと承認を含む、安全

作業許可システムの管理

○ すべての安全規定や手順へのコンプライアンス遵守の確保

○ 安全点検、避難訓練の実施および緊急対応業務

● 設備保守監視

○ 保守点検と是正作業のスケジュールを調整

○ 年次停電作業のサポート

○ 設備の緊急対応(例:停電、機器故障)

● データ管理・レポート

○ すべての設備関連および費用の正確な記録の管理

○ ベンダーのパフォーマンス、メンテナンスコスト、およびKey

Perofrmance Indicator(KPI)に関するレポートの作成

○ ユーティリティデータのシステムへ入力

● 建物設備管理

○ 建物内の機器関連の問題の解決のために、ビルサービス(建物

管理者)との調整

○ 迅速かつ効果的に解決をするために、すべてのビルサービスリク

エストをフォローアップ

● 事務サポート

○ 避難訓練や安全点検などの建物関連イベントをサポート

○ 必要に応じて、設備管理の事務的なサポートを行う

[Key Tasks & Responsibilities]

● Vendor Management:

○ Manage vendors providing facilities maintenance services

(e.g., HVAC, UPS, fire equipment, building management

system (BMS)).

○ Coordinate vendor activities, including scheduling,

maintenance plan, and performance evaluations.

○ Support with contracts negotiation, expenses, and manage

budgets for vendor services.

● Helpdesk & Service Requests:

○ Respond to helpdesk work related to equipment (e.g.,

equipment malfunctions, maintenance requests), responding

to user requests.

○ Prioritize and route service requests to appropriate vendors or

internal teams.

○ Track and monitor the resolution of service requests.

● Safety & Compliance:

○ Management of a safety work permit system, including the

review and approval of work requests submitted by vendors.

○ Ensure compliance with all safety regulations and protocols.

○ Participate in safety inspections, fire drills, and emergency

response activities.

● Facilities Maintenance Oversight:

○ Monitor and adjust schedules for preventative and corrective

maintenance activities.

○ Support annual power shutdown activities.

○ Respond to and troubleshoot facility emergencies (e.g., power

outages, equipment failures).

● Data Management & Reporting:

○ Maintain accurate records of all facility-related activities and

expenses.

○ Generate reports on vendor performance, maintenance costs,

and key performance indicators(KPI).

○ Input utility data into relevant systems.

● Building Facilities

○ Coordination with building services (landlord) to resolve

equipment-related issues within the building.

○ Follow up on all building service requests to ensure timely and

effective resolution.

● Administrative Support:

○ Support building-related events, such as fire drills and safety

inspections.

○ Provide administrative support to the Facilities Management

department as needed.

● Proven experience in facilities management, vendor management, or

a related field.

● Basic engineering knowledge on electrical, mechanical and fire

equipment

● Excellent communication, interpersonal, and negotiation skills.

● Strong organizational and time-management skills with the ability to

prioritize tasks effectively.

● Experience with Google Workspace (Gmail, Docs, Sheets, Slides).

● Some proficiency in Microsoft Excel, Word, and PowerPoint.

● Fluency in Japanese (business level proficiency or equivalent to JLPT

N2 or higher required).
