Work environment
Location: Tokyo(Otemachi)

Hours: 9.00-18.00 (lunch break 1 hour)

Team: 1FTE (back up is provided when takes planned leave)

Manager is based on JLL HQ, Reporting client is in India

Office capacity: Approx 100 flex seats, 400 people use when they come to office

Roles and Responsibilities of Office Coordinators

1. Provide daily on-site operations support to Japan office

2. Reception

  o Welcome guests

  o Meeting room set up / clean after used

  o Vendor escort

3. Mail / courier services

4. Security and Employee ID card

o Arrange ID card for new hire, request printing to India office

o Return or dispose employee ID card for leaver

5. Pantry Services

  o Beverage order (water server / vending machine / coffee)

o Ensure timely replenishment and proper disposal

6. BCP plan support / emergency supplies arrangement and provide inventory check

7. PPM arrangement such as UPS, AC, cleaning, lighting, pest control

  Most assets are taken care by landlord.

8. Track and maintain preventive and planned maintenance of office

9. Provide proper repair arrangement on their assets

10. Manage and provide proper communication with vendors and landlord who provide services including

11. Maintain and order office supplies and stationery

12. Finance

    o Vendor registration

    o PO creation

    o Leasing / FM services related invoice management (send invoices to offsite team)

13. Monitor and respond to email and inquiries related to office services

14. Any other facility or workplace services related activities as and when requested by Client

15. Event

    o All hands event by Quarterly

    o Year end party (venue, interpreter arrangement)

16. Rental office

    o Support for new / relocate / close (hearing, search, negotiate, equipment, vendor arrangement

17. Fixed asset verification annually (May-Jun, Tokyo only)


Others.

    o Regular report/update by conference call with client including report submission. Respond to both client/JLL HQ in timely manner as Leader of the account when reporting required for budget, operational update, cost saving and service improvement but not limited to.

Candidate Specification

Experience

Prior experience to facility coordination or facility assisting work.

Task Skills

Proficiency with PC skill such as Microsoft Word, Excel and PowerPoint.Good command of verbal and written English.A meticulous individual to anticipate client needs

Personal Skills
