Overall Role

As Facilities Coordinator, this position will be responsible for Budget control and invoice handling

Duties & responsibilities

Finance management

Budget planning and actual spend tracking for Opex and Capex budgetInvoice handling in both client and JLL systemPO issuing and trackingMonthly reporting with Account ManagerCoordinate with regional / local FIN members to establish smooth operations

Support on site operations services

In emergency case, communicate with the related vendors or BMs to resolve the issue with team memberHandle the request of waste management with the related vendorsSupport the space management and those documentationsArrange the amenity goods and general office suppliesSupport the reporting on energy managementSupport other administrative workManaging Work order to meet KPI’s requirement

Vendor Management

Assist in the management of all contractors on site to ensure they perform to the required standards (including inspection of vendors’ works)

Candidate Specification

Knowledge And Skills Required

Experience of Excel, Word and PowerPointBusiness level of English and Japanese

Competency
