Job Overview

We are seeking a dynamic and detail-oriented Purchasing PMO to provide comprehensive support to the Senior Vice President of Purchasing & Supplier Management. The successful candidate will demonstrate strong organizational and multitasking abilities, possess excellent communication skills, and have a proactive approach to problem-solving. This role will be critical in facilitating departmental operations, managing executive schedules, and ensuring smooth communication within the team and with external stakeholders.

Responsibilities

Purchasing PMO Related Tasks:

Act as a PMO to organize procurement department events, such as vendor conferences, annual procurement meetings, and departmental activities. Act as a liaison between the Sr. VP and internal departments, external suppliers, and stakeholders, fostering strong professional relationships. Assist in the preparation and management of budgets related to purchasing activities, including tracking expenses and compiling reports. Maintain and organize files and records, both electronic and physical, to improve accessibility and efficiency. Support the Sr. VP in project management tasks, ensuring deadlines are met and objectives are achieved. Conduct research and compile data as requested to support business decisions and strategies.

Administrator related tasks:

Provide high-level administrative support to the Sr. VP of Purchasing & Supplier Management, including managing calendars, scheduling meetings, and handling travel arrangements. Prepare and edit correspondence, reports, and presentations, ensuring accuracy and professionalism. Coordinate and organize meetings, including taking minutes, tracking action items, and following up as necessary. Handle sensitive information with confidentiality and discretion. Perform additional administrative tasks and special projects as assigned. Qualifications Bachelor’s degree in Business Administration, Supply Chain Management, or a related field preferred. Minimum of 5 years of experience as an executive assistant or in a similar administrative role supporting senior executives. Familiarity with procurement processes and supplier management is highly desirable. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications. Excellent written and verbal communication skills in both English and Mandarin are essential, with proficiency in German considered a plus. Strong organizational skills with a keen attention to detail and the ability to manage multiple priorities. Proven ability to work independently, exercise judgment, and make decisions based on information available. High level of professionalism, confidentiality, and discretion in all interactions.
