How you will make an Impact (Job Summary)

SPX is a diverse team of unique individuals who all make an impact. As an Executive Assistant, you will perform complex, diverse and confidential administrative duties supporting members of the Radiodetection’s Leadership Team and selected members of their team.  You will work independently and in collaboration with peers on projects of varying size and complexity while maintaining smooth day-to-day operations of the Radiodetection office. You will also be involved in Company’s employee engagement initiatives as well as managing communications. This role exercises significant judgement to accomplish goals.

 

What you can expect in this role (Job Responsibilities)

While each day brings new opportunities at SPX, your core responsibilities will be:

Executive Support Supports Managing Director and partners with other Executive Assistants to meet necessary deadlines. Communicates and/or coordinates instructions with each leader and their respective teams and other employees throughout the Company. Able to be an effective resource for responding to questions and able to provide information as appropriate to others Works closely with the Managing Director and their team to schedule and manage calendars effectively. Coordinates travel for Managing Director and Leadership Team and others as needed and time allows. Acts as a liaison for scheduling virtual and in person meetings, visitors and incoming correspondence; responds and/or transmits messages as appropriate. Prepares and reviews standard presentations and reports. Drafts correspondence for final approval; organizes and maintains executive correspondence and records as well as follow up as needed.  Must be able to do so with good judgement and at times with limited direction. Coordinates other projects, as requested, including the corporate travel planning calendar and customer activities. Performs duties in a manner that aligns to and adheres to company policy with regard to internal controls

 

 

Office Management:  Acts as line manager to reception team and guides their work for effective operations. Supports day-to-day administration of the office including coordinating facility needs, managing incoming and outgoing mail, visitors etc. Purchase and maintain inventory of office related supplies and equipment Partner with Information Technology staff to coordinate deployment of technology tools and resources required for general operations Employee engagement and general duties: Assist HR with initiatives aimed at enhancing employee engagement and satisfaction. Contribute to HR projects and maintain relevant data and records. Plan and coordinate internal and external events and communications Provide additional support to other departments as needed and foster a collaborative work atmosphere.

Required Experience

Strong interpersonal skills including ability to build relationships and communicate in a clear and effective manner with constituents both internal and external to the Company and at all levels of responsibility. Exhibits a strong ability to handle multiple demands with a sense of diplomacy, urgency, drive and energy Good understanding and ability to manage communications in an environment that strongly values collaboration and respectful dialogue.  Exceptional attention to detail, accuracy, professionalism, and leadership. Project management skills. Able to balance multiple projects in an unsupervised environment. Proven discretion with highly confidential information/documents. Experienced with travel and event planning including both domestic and international travel and able to communicate schedules in a detailed and concise manner. Strong working knowledge of Word, Excel, PowerPoint and Outlook Experience of working in an international company is advantageous
