The Opportunity

Reporting to the Manager, under the direction of the Clinic Leader of Operations, the Registration and Scheduling Clerk is responsible for patient scheduling, timely registration and processing of patients with appointments in the Children’s Heart Centre. The Registration and Scheduling Clerk interacts with colleagues, patients, families, students, and partners respectfully and collaboratively, keeping with the principles of family-centred care, and Health Centre standards to meet the needs of patients and families.

 

Responsibilities include, but are not limited to:

Registers patients for appointments/service, completes Order Entry for tests required, and notifies nursing staff of patient arrival; Reminder phone calls to patients about upcoming clinic appointments; Schedules new and follow-up patient appointments for various cardiology clinics; Schedules and registers diagnostic testing appointments for ECG, Echo, Exercise Testing, Event Recorders and Holter monitoring; Receives, processes, and distributes Cardiology consultations as well as ECG and Echo requisitions appropriately; Assists with receivable and processing of, and well as registration/entry of mailed-in Echos; Obtains accession numbers for all echocardiograms through Meditech; Collects the Children’s Heart Centre outpatient visit cards and prints daily reports from the ECG database; Answers phone, redirecting calls, communicates messages and information accurately and appropriately, and redirects inquiries accordingly; Processes registration for allied health professional patient information calls; Participates in care team discussions as required, offering input and energy into efforts at improving clinic efficiency and functioning; Other duties as required. Hours of Work

Monday to Friday; 08:00-16:00; 70-hours bi-weekly.

 

Your Qualifications Minimum High School Diploma or GED required. Graduate of a recognized Office Administration Diploma Program an asset. Minimum of six (6) months related experience preferred. Knowledge of Meditech and Community-Wide Scheduling (CWS) preferred. Experience with registration and scheduling in a health centre environment preferred. Working knowledge of Microsoft Office and other computer programs/technology preferred (testing may be conducted on shortlisted candidates and will be considered towards a candidate's suitability for the position). Demonstrated accurate keyboarding and data entry skills required (testing may be conducted on shortlisted candidates and will be considered towards a candidate's suitability for the position). Demonstrated knowledge of medical terminology an asset, Cardiac terminology an asset. Excellent multi-tasking, organizational and prioritization skills required. Proven team player with excellent communication and interpersonal skills required. Demonstrated ability to work with a variety of inter-professional team members respectfully required. Demonstrated excellent prioritization and time management skills required. Demonstrated high regard for quality and attention to detail required. Demonstrated initiative; self-motivated to work independently with minimal supervision required. Demonstrated flexibility to meet workload demands required. Demonstrated knowledge of and commitment to Family Centred Care required. Experience with office equipment an asset.
