If you're that professional, personable person, we'd love for you to join us in our state-of-the-art A-dec Education Center in Nashville, Tennessee.This position is primarily responsible for providing exemplary support with the planning, coordinating and facilitating A-dec Educational Center (AEC) visits, Association visits, and doctor/dealer tours as well as coordination of group use of the Education Center.
JOB DUTIES AND RESPONSIBILITIES:
Incumbent is responsible for scheduling tours, arranging hotel accommodations for visitors, and planning ground transportation, meals, and entertainment for AEC guests doctors/dealers) according to domestic sales team requests and requirements.Maintains organized documentation of visits. Prepares and finalizes itineraries, prepares tour bags, cleans and maintains all tour equipment, and may act as a tour guide when necessary.Coordinates any AEC catering, and hospitality needs.Acts as the main resource for TMs during visits, ensuring all needs are met and questions are answered.Reviews and submits invoices for AEC visits. Coordinates billing between TMs and dealers for associated travel expenses. Organizes and submits required Sunshine Act documentation for all visits.Prepares AEC daily for the arrival of guests and internal customers. Posts meeting schedules, manages event/meeting calendars, and contacts group organizers to determine if special needs exist.Partners with the Customer Experience Coordinator on daily shared administrative tasks and acts as support when the facility hosts large groups.Works as part of a team to optimally maintain the appearance of the AEC.Other duties as assigned.QUALIFICATIONS:
Knowledge, Skills, and Abilities
Requires excellent organizational, time management and clerical skills. Experience with Microsoft Office suite, including basic troubleshooting.Possesses excellent written and verbal communication skills with the ability to present information clearly and utilizes effective communication methods.Expected to present a professional appearance and friendly demeanor with the ability to interact effectively with both internal and external customers.Ability to allocate time accordingly, and work independently (initiate, plan and manage events, ability to focus on details, prioritize and meet deadlines).Education and Experience
Generally requires 3-5 years of group/event coordination experience, at least 2 of those years within a large corporate environment, and 1-2 years of college coursework in Business, Accounting, or other related area of study.Experience with ERP systems preferred.Disclaimer
