General Summary
The ABA Center Manager ensures optimal center operations by focusing on client experience, staff management, operational efficiency, and regulatory compliance. This position emphasizes oversight of intake and enrollment processes, ensuring a smooth client onboarding experience while focusing on center well-being, maintaining coverage hours, and delivering exceptional client experiences.
The role collaborates closely with clinical and administrative teams to optimize service quality and operational outcomes, ensuring a professional and welcoming environment for staff, clients, and families. The Manager ensures that all center operations comply with relevant federal, state, and local regulations, including HIPAA, OSHA, and county and funding source requirements.
Key Responsibilities
Client Experience
• Build and maintain strong relationships with clients and families to ensure satisfaction.
• Address and resolve client concerns with professionalism and empathy.
• Uphold policies related to attendance, session cancellations, and client availability.
• Regularly collect feedback to improve client satisfaction.
Intake and Enrollment Oversight
• Supervise intake and enrollment processes to ensure all required documentation is accurate and timely.
• Lead parent tours and consultations, providing clear explanations of center policies and expectations.
• Monitor trends in enrollment and collaborate with the leadership team to adapt strategies.
• Provide consistent communication and support during the client onboarding process.
Center Well-Being and Maintenance
• Ensure therapy and administrative spaces are clean, safe, and well-stocked.
• Implement and standardize center cleaning and maintenance procedures.
• Oversee facility operations, including inventory management and repairs.
• Promote a welcoming and professional atmosphere for clients and staff.
Coverage Hours and Scheduling
• Monitor and maintain therapist schedules to ensure adequate coverage.
• Adjust staff schedules promptly to meet client needs during absences or emergencies.
• Collaborate with Clinical Managers to align scheduling with projected caseloads.
• Optimize staff utilization to maximize billable hours and service delivery.
Regulatory Compliance
• Ensure the center complies with HIPAA regulations to protect client confidentiality and data security.
• Implement and enforce OSHA standards to maintain a safe working environment.
• Stay updated on and comply with all county, state, and federal regulations, as well as funding source requirements.
• Conduct regular audits and training sessions to maintain compliance across all operational areas.
• Address and resolve any compliance issues promptly and thoroughly.
Leadership and Team Collaboration
• Provide direct supervision to center staff, fostering a supportive and productive work environment.
• Mentor team members and assist with professional development initiatives.
• Partner with HR on employee discipline and performance management.
• Work closely with Clinical Managers to address client needs and uphold service quality standards.
Service Quality and Client Outcomes
• Monitor staff performance and therapy sessions to maintain service excellence.
• Implement best practices to ensure consistent client outcomes.
• Identify and address areas of improvement in service delivery.
Reporting and Metrics
• Track and analyze metrics related to cancellations, utilization, compliance, and financial goals.
• Deliver weekly and end-of-day reports summarizing operational performance.
• Use data to inform strategies and optimize center operations.
Qualifications
Education & Experience
• Bachelor's degree (preferred).
• Minimum 3 years of experience managing operations in a clinical or similar setting.
• At least 3 years of supervisory experience with a focus on client and staff management.
• Demonstrated success in delivering excellent customer service.
Skills & Competencies
• Strong organizational, communication, and interpersonal skills.
• High interest in working with children on the autism spectrum.
• Knowledge of HIPAA, OSHA, and other regulatory standards.
• Ability to manage multiple priorities and maintain attention to detail.
• Proficiency in Microsoft Office Suite and operational management software.
• Flexibility to work varying schedules, including occasional evenings and weekends.

Work Schedule
