Job Description

SUMMARY:

Reporting to the Director of the Cali School of Music, the Academic Advisor works in conjunction with the College of the Arts (CART) Advising Team and leadership, with respect to the student advising needs in the Cali School. The Academic Advisor provides a range of support services to the school’s undergraduate students including advising first-year, transfer, and continuing students regarding general education and major requirements, electives, and course sequencing, as well as strategies for achieving academic success.  Additionally, the Academic Advisor works with the Cali School’s Graduate Program Coordinators to assist the graduate student population with registration for the high number of restricted courses that they must take. The Academic Advisor supports college and university retention initiatives, serves on committees, and works with faculty advisors to develop services that foster students’ progress toward completing their degrees. 

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Provide year-round holistic advising, including developmental advising regarding educational goals, transactional advising around course selection and registration, intrusive advising for students who need additional support, and coaching students to utilize campus resources.

Establish a flexible plan that allows for scheduled and walk-in advising hours as well as individual and group advising, where appropriate.

Maintain a caseload of undergraduate advisees from their admission into the Cali School.   

Learn and fully utilize information technology related to student services, including Banner, Degree Works, Tableau, and Navigate.

Pre-register freshmen for first-semester courses.

Evaluate transcripts of incoming transfers to determine course equivalencies that satisfy major requirements. 

Determine and facilitate seniors’ eligibility for graduation. 

Empower students toward navigating university procedures, using degree-tracking self-help tools, and accessing campus-wide services (e.g. career, tutoring, disability …), providing referrals where needed.

Help students understand the effects and values of changing a major, adding a minor, studying abroad, and engaging in co-curricular activities that support their educational goals.

Participate in campus and college/department events such as Open Houses, Accepted Student Days, Transfer Orientations, New Student Orientations, and Arts Days events, conducting presentations where appropriate. 

Conduct and coordinate intrusive advising for students in relation to academic warnings and other risk alerts. Assist with enrollment management and non-registration outreach. 

Process appeals and communications such as change of major/minor forms, academic credit adjustments, course overloads, and other actions.

Maintain and help communicate university advising policies and practices and provide training or support to faculty in their academic advising role, as needed.

Represent the Cali School or CART on committees and at meetings.  Lead and/or support initiatives as needed.

Establish, nurture, and maintain relationships with student service colleagues across the campus in order to provide student referrals, as necessary.

Teach a section of New Student Seminar (1 credit).

Maintain currency in the theory and practice of Academic Advising. 

Performs other related duties as assigned.

QUALIFICATIONS:

REQUIRED: 

Master’s degree from an accredited college or university in counseling, social work, higher education administration, or related field.

Minimum three (3) years of professional academic advising experience with students in a higher education setting.

Understanding of diverse and non-traditional student populations.

Knowledge of music as a performing art and an academic discipline. 

Excellent interpersonal, organizational, and verbal/written communication skills.

Ability to work independently and collaborate/report as part of a team.

Familiarity with enterprise applications and software.

Detail/results oriented; ability to thrive in a fast-paced, diverse, working environment.

Able to work some evenings and weekends when programming requires.

PREFERRED:

Experience advising music students.

Experience with a range of advising modalities, such as developmental, transactional, appreciative, intrusive, and individual/group counseling

Demonstrated understanding of the needs of traditional, non-traditional, and at-risk student populations.

Experience with Banner, Degree Works, and Navigate systems. 

Experience presenting and/or teaching at the college level. 

Familiarity with and experience working on student success initiatives.
