Academic Affairs Administrator

The Academic Affairs Administrator is responsible for coordinating, developing and promoting learning activities including providing daily operational and organizational support by providing a variety of communications support, involving developing correspondence, presentations, formatting publications, proofreading documents and coordinating a variety of special events, projects, and meetings. Manages initiatives to meet accrediting body requirements, gathers and communicates information for daily academic affairs office operations, financial analysis and decision making.

Your Everyday 

Manages and coordinates meetings by way of setting agendas, scheduling meetings, attending meetings to provide expertise and tracking follow-up tasks after meetings.Assists in the development of processes and guidelines across all LCMC rotational sites.Serves as liaison between senior executives, leaders and staff in a timely and confidential manner to facilitate accomplishment of LCMC Health’s mission and goals.Researches, compiles, proofreads and gathers information (sometimes complex and highly confidential in nature) from multiple sources, organizes and tabulates data as delegated by the senior executives.Researches and prepares various Academic Affairs meeting agendas, staff communications and presentations as needed and distributes in a timely manner.Administers executive calendar management, on-site or virtual scheduling and hosting meetings, meeting coordination and maintains effective communications with all constituencies (internal and external).Supports the Academic Affairs Office in developing all materials and executing all orientation, onboarding, activities for new learners.Develops and maintains accurate and efficient support databases and files that address all elements required for contract monitoring and accrediting body compliance.Coordinates with leaders and team members to establish needed outcomes, deadlines and details of Academic Affairs related project work to ensure accurate and timely execution of assigned projects.Prepares special and recurring departmental reports and newsletters by gathering data from various sources and compiling and typing data and narratives.Supports administrative aspects of Academic Affairs office sponsored initiatives and conferences as requested.

The Must-Haves 
 
Minimum: 

EXPERIENCE QUALIFICATIONS

5 years of experience in Office Management, Executive Assistant or another related role.Medical Education experience or Finance or Analytics experience preferred.


EDUCATION QUALIFICATIONS

Required: Bachelor's Degree in a related field.Preferred: Master's Degree in a related field.

SKILLS AND ABILITIESMinimum Required: Proficient in MS Office 365 Suite (Word, PowerPoint, SharePoint with advanced Excel skills), Microsoft Outlook skills and Adobe Pro.Strong problem-solving skills, attention to detail, follow-through and initiative with ability to formulate practical solutions.Ability to multi-task and prioritize in a fast-paced environment.Excellent interpersonal and communication skills required across all levels of the organization.Proven ability to maintain confidentiality relative to sensitive projects, communications, and all business matters.Maintains positive and optimistic outlook and perspective that is reflective of the organization’s mission, vision and culture.Ability to anticipate the needs of Senior Executives and adapt accordingly.
