Academic Program Coordinator

We are seeking a **_Academic Program Coordinator_** who will support the Kissinger Center’s mission to advance and develop curricula, research, and programs in historically informed strategy and statecraft. The Academic Program Coordinator will be responsible for day-to-day administration of the center and will serve as executive assistant to the center’s director. Responsibilities include scheduling and travel, financial accounting, data and file management, drafting budgets, correspondence, and other documents, staffing conferences and events, and conducting timely research for special projects.
**Specific Duties & Responsibilities**
_Assistant to the Director_
+ Serve as the director’s executive assistant, helping to manage calendars, book travel, and undertake timely research for special projects, as required.
+ Office Management: consistent with SAIS and JHU regulations, develop and implement office policies and procedures, manage files, distribution lists, and other information, procure office supplies, liaise with operations, and control access to the office suite.
_Financial Administration_
+ Track expenditures against the center’s budget, process reimbursements, review monthly financial reports, help draft budgets, track revenue and expenditures for the Kissinger Center’s cost centers/IOs, prepare and submit invoices for deposits and services rendered, review and approve monthly accounts reconciliations, correct errors, and inform the Associate Director of any problems or discrepancies, processes journal entries and cost transfers as needed, continually remain up to date with University financial policies, deadlines, and protocols throughout the year and during end of year closing requirements.
_Events_
+ Support center staff to organize conferences and events, manage A/V requests, organize catering, and serve as note-taker, as required.
_Communications_
+ Assist center staff to maintain and improve the center’s digital presence, including updating and expanding the website, preparing an annual newsletter, and engaging students and external stakeholders on social media platforms
**Budget authority**
+ Responsible for reconciling and tracking expenses, making judgment calls on reasonable expenses will be required.

+ Has a high level of responsibility and operates with significant latitude in partnership with academic directors and deans. Keen judgment and discretion are essential.

+ Excellent communication, interpersonal and problem-solving skills.
+ Proficiency with technology including collecting and synthesizing data.
+ Demonstrated ability to relate to students, faculty, staff, and the public.
+ Knowledge and understanding of an intentional, competency based and integrated approach to programming.
+ Highly skilled in Microsoft applications including Outlook, Excel, Word and PowerPoint and in database management.
+ Excellent written, verbal and interpersonal skills.
**Minimum Qualifications**
+ High School Diploma or graduation equivalent.
+ Three years administrative/academic related experience.
+ Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.
**Preferred Qualifications**
+ Bachelor’s Degree highly preferred.
+ Previous experience in accounting and/or event planning is preferred.
+ Individual must have an interest in the study of foreign policy, including familiarity with universities, graduate training, and scholarly research in international affairs.
+ Attention to detail and a demonstrated ability to handle concurrent projects, meet deadlines, and work independently and as part of a dynamic team are essential. Excellent writing and communication skills and discretion and confidentiality in business dealings are required.

Starting Salary Range: $18.20 - $33.90 HRLY (Commensurate w/exp.)

The listed salary range represents the minimum and maximum Johns Hopkins University offers for this position, based on a good faith estimate at the time of posting. Actual compensation will vary depending on factors such as location, skills, experience, market conditions, education, and internal equity.
