The Department of Education Leadership, Foundations and Policy (EDLF) seeks applicants for an experienced practitioner to work as an Academic Program Officer to enhance recruitment, admission, and student support across our master’s (M.Ed.) and doctoral (Ed.D.) programs, undergraduate courses, and one minor. This role connects EDLF faculty, students, and staff with staff with the Office of Admission and Enrollment Services (ARES) and the Office of Communications and Marketing (OCM) in the School of Education and Human Development (EHD).
The EDLF department provides master's and doctoral education and undergraduate courses that prepare a new generation of professionals to engage in innovative research and practice related to foundations of education, research methods, human development, leadership, higher education, and policy.
The Academic Program Officer will support recruitment efforts to attract, support, and retain a diverse, talented pool of prospective students for the M.Ed. and Ed.D. programs and for undergraduate courses. Responsibilities include:
1. Recruitment and Outreach
Organize recruitment events, webinars, and information sessions in collaboration with the Offices of Admission and Enrollment Services and Communications and Marketing.
Engage directly with prospective students to answer inquiries, track engagement, and maintain records using the university’s constituent relationship management tool and the Slate admission application portal.
Implement strategies to address applicants' unique challenges (e.g., providing visa information and resources for international students, navigating SLATE, submitting references, etc.).
Collaborate with the Office of Communications and Marketing on the creation of customized program materials to market programs and courses within and outside of UVA in ways that maintain OCM brand standards. Lead the distribution of materials as necessary.
2. Admissions and Student Onboarding
Collaborate with Office of Admission and Enrollment and faculty program coordinators to streamline admission and onboarding processes to enhance the transition for incoming students.
Develop onboarding initiatives such as on-line orientations and resource sites.
Address enrollment-related issues for incoming students (e.g., help with registration).
3. Student Success and Program Support
Collaborate with faculty and student services to ensure students can access university resources, mentoring, and academic support as needed (e.g., manage several program-level Canvas sites).
Organize in-person networking and academic events tailored for the in-person, Charlottesville-based portion of a hybrid program, strengthening their connection to the program and peers.
Manage alumni engagement and program communications (e.g., alumni newsletters).
Work with faculty and staff to produce a thriving, supportive program culture.
4. Program Administration and Data Management
Review records of student recruitment, admissions, and retention data and use these data to inform recruitment and admissions tactics.
Work with various departments, including the Office of Diversity, Equity, and Inclusion, Learning Design, and the Teaching Innovation Team, to align program goals and enhance the student experience.
Troubleshoot administrative challenges and recommend process improvements through solutions that streamline tasks and improve program efficiency.
We seek candidates with a commitment to creating environments and programs that foster the inclusion and achievement of students from all backgrounds and identities. The person in this position must have excellent communication skills to build effective relationships with faculty, academic programs and departments, and partners across EHD. Further, the incumbent must be skilled at using technology to organize and manage information and apply that information to day-to-day work. Preference will be given to candidates who have demonstrated interest in education and experience working with students in higher education settings.
Reporting to the Department Administrator, the Academic Program Officer will be responsible for addressing the diverse needs of students across EDLF programs, with emphasis on outreach and recruitment, but also supporting current students. The Academic Program Officer will serve as the point of contact with the Office of Admissions and Enrollment and Office of Communications and Marketing to achieve program growth.
Minimum Requirements
Education: Master’s Degree Required. Bachelor’s Degree and relevant experience may be substituted in lieu of Master’s Degree.
Experience: Four years of relevant experience.
Preferred Qualifications:
Experience working with online/hybrid graduate programs.
Proficiency in additional computer tools and applications (e.g., SmartSheet, Slate, SIS and other typical university databases or programs).
Demonstrated ability to create, maintain and improve processes using technological solutions and engagement with others to create and use those processes.
Ability to interpret data and apply it to daily work.
Ability to troubleshoot technology issues independently.
Proven ability to work independently, as part of a team, and complete tasks without immediate supervision.
Experience in creating processes for short and long-term project management.

Physical Demands
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
