Job Title ACADEMIC RECORD SPECALIST Position Number 8100571 Job Category University Staff Job Type Full-Time FLSA Status Non-Exempt Campus Chicago-Water Tower Campus Department Name REGISTRATION AND RECORDS Location Code REGISTRATION & RECORDS (02025A) Is this split and/or fully grant funded? No Duties and Responsibilities Manages and completes academic record requests in a timely manner including and not limited to: p/n , change of registration, enrollment verification, transcripts, sports eligibility requests ; while also handling requests that may require priority turn around or other customized processing. Maintains DocFinity job workflow up to date and regularly uses this system to access records and other documents. Promptly addresses and troubleshoots academic record requests, Parchment orders, DocFinity documents and other record related projects as needed. Provides records team and transcript team coverage as needed, via in person, by phone or e-mail. Demonstrates good judgment in troubleshooting records and transcript related issues. Completes National Student Clearinghouse enrollment and degree verification requests. Maintains regular communication with students, third party requestors and internal colleagues as it relates to the processing of academic record requests. Oversees day to day supply ordering for the Registration and Records department. Manages and regularly monitors the records team supply and inventory. Provides support with the academic standing process and grading processes including but not limited to grade rosters, missing grades reports, grade changes and incomplete grades. Assures that all student records handling and processing are in compliance with the Family Educational Rights and Privacy Act (FERPA). Other duties as assigned.


Minimum Education and/or Work Experience High school diploma or equivalent and one to three years of relevant experience. Qualifications College degree preferred. Strong interpersonal skills in working with students, parents and LUC colleagues. Previous experience in an office environment required. Strong computer and records management experience required. Experience with project management and leadership responsibilities preferred. Excellent customer service skills required. Ability to work in a fast-paced environment, handle multiple tasks, and meet established deadlines. Ability to communicate effectively both verbally and in writing; to react flexibly to shifting demands. Strong analytical and troubleshooting skills. Excellent attention to detail, multitasking and organizational skills. Must be a self-starter with the ability to adapt to changing processes and procedures.


Certificates/Credentials/Licenses High school diploma or equivalent and one to three years of relevant experience. Computer Skills Proficiency with MS Office Suite (especially Word, Excel), e-mail, Adobe PDF, Teams and Zoom.
