The Dentsply Sirona Academy in Charlotte is a state-of-the-art training facility for dental professionals who seek a comprehensive variety of clinical and technical continuing education, including hands-on teaching, live lectures, and on-demand webinars featuring courses taught by experts in all fields of dentistry.
The Academy Coordinator organizes, schedules, and plans events in the DS Academy, coordinating all event details including audio visual, catering and room set up. The coordinator manages the Academy calendar and maintains attendance records. The Academy Coordinator is the first point of contact for guests of the DS Academy. This person will also provide administrative support to three leaders. This position is based in-person at the Charlotte Academy.
Key Responsibilities:
Coordinate event registration, scheduling, management of inventory/materials for hands-on and lecture continuing education. Serve as onsite support to planners, speakers and attendees to ensure successful programs and strong relationships. Document weekly activities and provide status reports of programs and trainings. Develop reporting system that is updated regularly according to the state and federal guidelines within the context of OSHA/ HIPPA polices and guidelines. Manage compliance reporting regarding clinical education, infection prevention and team training. Manage internal inventory maintenance, supply and equipment orders. Maintain training facility classrooms and equipment. Manage event expenses, payments, and account reconciliation for programs. Manage budget for clinical education across all third-party vendors and educational partners. Identify expense saving opportunities for clinical programs. Develop a process to obtain all technical and material course needs with DS education/brand partners. Ensure each course is fully staffed and set up to deliver a best-in-class experience for all attendees. Review program feedback and assess gaps, recommend solutions. Provide expense and scheduling support for up to three leaders within the North America Commercial organization.
Education:
Bachelor’s degree from a credited college or university.
Years and Type of Experience:
Minimum of 3+ years of business experience preferably in a role with administrative support and/or event planning responsibilities.
Key Required Skills, Knowledge and Capabilities:
Must possess excellent customer service, interpersonal and communication skills (written and verbal). Proven organizational skills with the ability to prioritize and manage multiple tasks. Proficient in Microsoft Office suite, specifically PowerPoint, Excel, Word and SharePoint. Experience in events and/or administrative support. Ability to work in a high energy learning environment where adaptability and a commitment to excellence are essential. Proven ability to exercise sound independent judgement. Ability to collaborate with others and work in a respectful environment. Ability to work occasional weekends and evenings based on event calendar. Performs other duties as assigned or as may be necessary.
