Account Assistant, VIP Services - Platinum

We're looking for an Account Assistant, VIP Services - Platinum (3 month FTC) to join our team in London as part of our Client Services function.

Your Role:  Client relationships and providing excellent service is our top priority. You will be a dedicated, experienced and personable Account Assistant supporting the pre and onsite operation for our Platinum product.  

You will be primarily focused on the collection, cleanup, and verification of flight information for clients, ensuring the accurate coordination of transportation services to and from the airport. You will work closely with clients, external suppliers and the Account Manager, VIP Services - Platinum to gather flight details, communicate any discrepancies, and ensure the timely and accurate entry of this data into our systems for seamless transportation planning.

Key Responsibilities 

Serve as a key point of contact for clients to collect accurate flight details, including flight numbers, departure and arrival times, airline information, and any changes or updates to travel plans.

Communicate directly with clients to gather necessary flight data in a timely manner, ensuring no disruptions to transportation services.

Review flight data for accuracy and completeness, ensuring all essential information (dates, times, flight numbers, etc.) is correct and formatted consistently.

Identify and resolve discrepancies or missing information, working with clients to clarify and correct any issues.

Maintain regular communication with clients to provide updates on their transportation arrangements, ensuring they have the correct information for airport pick-up and drop-off.

Provide exceptional customer service by answering client enquiries and offering support throughout the pre and post festival Platinum transfer operation.

Work with the contracted external supplier to ensure transportation services align with flight schedules, communicate any changes or updates in flight information to ensure smooth logistics.

Assist in troubleshooting any issues that arise during the transportation process, from flight delays to last-minute changes in client needs.

Maintain and generate detailed records of all flight data, client communications, and any adjustments made to travel plans.

Provide regular updates to internal teams on the status of client accounts and transportation arrangements.

Your Experience

Experience handling time-sensitive data and working with clients in a fast-paced environment is essential

 Previous experience in client services and/or data entry is preferred.

 Familiarity with flight information systems, airport logistics, or transportation coordination is advantageous.

 Exceptional attention to detail, particularly in handling and organising data.

Strong verbal and written communication skills, with the ability to interact professionally with clients.

Ability to multitask and stay organized in a high-volume, deadline-driven environment.

Proficiency with Google Sheets or similar spreadsheet tools (for managing and organizing data sets).

Problem-solving skills with the ability to anticipate client needs and address issues proactively.

Ability to handle sensitive travel information and maintain confidentiality.
