Job Description

Scope of Position

The Account Receivable Agent is responsible to manage Accounts Receivables processes, including receiving and recording of receipts and assisting in the Credit Management process, ensuring Customers remain within agreed credit and payment terms

Administration and Personnel Management

Keep the excellence internal service execution within the Accounting department.Engage with team members daily, participate on check-in, weekly and monthly meetings or when is necessary.Build healthy cross-functional relationship. Ensure a healthy work environment, promote team spirit and cohesiveness in the department and also working together with other teams.Own your self-development. Prepare, follow-up and execute on your personal development goals.Understand and implement the company controls, policies, procedures, processes, applications, tools, and systems.Participate in the Accounting team on initiatives and projects.Participate in other departments meetings, support projects and initiatives at every level.

Finance & Operations

Collaborate with Accounting Lead and Accounting Supervisor, DM and Operations Manager ininitiatives and priorities.Have strong knowledge and do proper use of all Expeditor systems and tools, especially Accounting system.Download Account Receivable (A/R) report every week, AR revision should be on a weekly basis,ensure to review all customers at least once a week.Weekly follow up in all receivable's invoices after IVM is updated, if they do not have them, start with invoice resend process.Provide the customer with their CFDI Payment Complement (Complemento de Pago) once the deposit has been applied.Follow up on open credits in the system for immediate refund.Keep AR notes updated in weekly basis.Provide up to date detailed collection notes listing actions on every past-due invoice in the ARCM system (Accounts Receivable Collection Management).Escalate problems or concerns to Accounting Management team timely when needed.Research all deposit & Journal Voucher postings for discrepancies & submit JV entry for corrections.Submit timely A/R responses to CHQ or MEX REG in case they are required.Ensure to collect on A/R reserves to avoid bad debt write off (AR over 4 months).Record receipts in exp.o Accounting system and allocate per the remittance advice, ensuring no receipts are left unallocated at month end and provide support to the Banking/Treasury team forunidentified receipts.To safeguard assets of the company by effectively managing the daily Accounts Receivable operations and assisting in the Credit Management operations thus improving cashflow and liquidity.Generate and deliver timely Statements and perform timely reconciliations.Maintain a filing system in accordance with internal and local document retention policies (i.e. upload the remittance advice to the deposit in exp.o Accounting).Assist Controller with Credit tasks in line with the Global Credit Policy (maintain Customer payment terms, company rating & risk rating; evidence in e.doc Global Lookup the establishment and approval of credit in the BCR system (Branch Credit Request) and performance of annual credit reviews).Assist in Internal Control Evaluations and Internal/External Audits by preparing required information/documentation

Compliance

Understand and comply with company internal controls, specifically the Fınancıal Process ControlDocumentation.Promote compliance in diligently following all company policies and regulations and performing the task at hand with outstanding integrity.Maintain highest compliance levels for all applicable Accounting requirements.

Security, Health and Safety

Responsible to inform immediately to the Branch’s Health and Safety representative any unsafe condition that could put employees at risk in the workplace as well as any incident or accident.

Qualifications

To be the most effective in this position we are looking for the following skills and experience:

Bachelor's degree in accounting /finance.1-2 years of experience in Accounting preferred.Strong Accounting and Finance knowledge.Ability to learn and apply global logistics industry processes and procedures.Exhibit a leadership style that empowers, coaches, mentors, and fosters a cohesive team environment always prioritizing employee satisfaction.Customer Satisfaction oriented. • Strong interpersonal and communication skills, ability to communicate at all levels written and oral communication and presentations.Ability to relate and influence employees at all levels.Strong time management skills and attention to detail.Problem solving and business analytical skills.Strong project management skills, and ability to multitask.Ability to complete work within standard procedures, guidelines and office policies.Self-driven personality and good business sense are expected.Strong computer skills, including data entry and knowledge of all Microsoft Office applications (intermediate level Excel skills).Hands-on user skills with Expeditors’ applications as needed.English and Spanish fluency.Teamwork player.Be proactive and show ownership in the assigned responsibilities.Commitment to always exemplify Expeditors’ culture.Excellent organizational and time management skill
