Job Details:
PurposeProvide financial information support to departments such as financial reporting, payroll support, and transactional information to facilitate business decision making for Applied Research Laboratories.
ResponsibilitiesProcessing: Review and approve monthly charges including computer, vehicle, machine shop, test station, depreciation, and refreshments and ensure charges are accurately posted to IRIS and DEFINE. Process these charges as needed in absence of other team members. Work with departments to resolve contract issues related to these charges. Review all purchasing cost transfer forms for accounting manager approval and send to appropriate offices for processing. Approve ad-hoc changes within internal accounting systems including encumbrances and disencumbrances. Assist with accounting management of IRIS transactions. Reviews, investigates, and corrects errors and inconsistencies in financial entries documents and reports. Approve VT6 documents to correct object codes as requested by Inventory Office or to correct account charged. Process these corrections as needed in the absence of other team members.
Financial Reporting: Generate and manage EOM financial reports related to month close. Assemble and analyze various monthly financial and statistical reports used by lab staff and executive management. Review and submit various prepared reports for campus departments as assigned. Provide ad hoc reports for lab staff and ARL management related to financial activity. Perform rate analysis for all ARL rates: Absent Time Pool (ATP), Prorated Direct Costs (PDC), Lake Travis Test Station (LTTS), Machine Shop and Vehicles. Obtain rate approvals from appropriate UT offices and from the federal government when required. Assist with reconciliations of IRIS and DEFINE data as directed including posting transactions and ensuring corrections are processed in a timely manner.
Payroll: Approve hourly timesheets in Workday ensuring adherence to UT and ARL policy. Ensure hourly and monthly payroll processing is accurate and ensure timely resolution of payroll issues with ARL and UT Staff. Manage payroll loads and reconcile payroll data between IRIS, Workday, and Define. Review and approve overtime (OT) and comp time timesheets and IRIS/Workday entries. Review and approve employee payments and review and approve IDT's for pooled fringe charges. Review and approve payroll corrections in IRIS and DEFINE and work with central departments for final approval of these corrections. Complete payroll reports and assist with monthly reconciliation of central clearing account. Assist lab staff with payroll questions and issues and elevate to Accounting Manager as appropriate. Process various transactions related to payroll in the absence of team members for Accounting Manager approval.
Assist in verification and approval of DEFINE payment documents and corrections. Monitors compliance with generally accepted accounting principles and University policy and procedures. Work with Vouchering and Accounts Payable supervisors to ensure IRIS and DEFINE accurately reflect payments and charges. Review IRIS document postings and provide approvals as needed. Approve encumbrances for student tuition and assist with reconciling internal tuition account at the end of each semester to ensure charges are cleared to proper account. Periodically review cancelled PR report processed by vouchering staff to ensure encumbrances are cleared. Review encumbrances on closing accounts and work with Vouchering and Accounts Payable to process payments as needed.
Special Projects and Record Retention: Assist Accounting Manager and Assistant Director in compiling documentation and backup for audit requests using various tools. Review IRIS and IRIS applications for improvement including providing feedback to MIS and testing new applications. Develop ideas for further automation, provide requirements to MIS, test and evaluate effectiveness of new tools, reports and integrations with new UT initiatives such as Workday. Ensure all records related to assigned processes are accurately imaged and stored.

Required QualificationsBachelor's degree in Accounting, Business or related field.
Three years of experience in governmental or commercial accounting.
Proficient in Microsoft Office applications, with intermediate Excel skills.
Demonstrated ability to meet deadlines and to successfully identify, organize and complete multiple tasks independently and within a team environment.
Keen attention to detail and superior organizational skills.
Demonstrated proficiency in gathering, analyzing, and presenting financial data.
Excellent customer service, oral and written communication skills.
Professional demeanor.
Proven interpersonal skills with experience managing confidential data and providing complex administrative support using tact, discretion, and diplomacy. Accepts supervision.
Relevant education and experience may be substituted as appropriate.

Preferred QualificationsMaster's degree or graduate level courses in Accounting.
More than three years of experience in governmental or commercial accounting.
Experience with accounting at the University of Texas at Austin, UT DEFINE, and other university applications.
Experience working with grant/federal funding including cost accounting.
Experience working with a shadow accounting system and department specific accounting tools.
