Accounting Assistant
Job Title: Accounting AssistantJob Description The Accounting Assistant will be responsible for coding invoices, processing payments, and managing the coding for a book of clients. The role involves utilizing proprietary ERP software to process electronic or check payments, maintain client accounts, and monitor payment statuses. The ideal candidate will have strong analytical skills and attention to detail to ensure accuracy in handling high-volume and complex accounts payable processes. Responsibilities + Code invoices and process electronic or check payments. + Utilize Excel for documenting, tracking, and organizing discrepancies. + Handle insurance carrier payables and ensure records match for payment processing. + Work with internal sales and accounting teams, as well as external customers, to resolve discrepancies. + Process and code hundreds of carrier invoices, ensuring accuracy in dates, policy numbers, and amounts. + Follow up on discrepancies with vendors and internal teams to ensure timely payment processing. + Create labels for overnight shipments and fill out forms for payment approvals. + Maintain detailed records of payables in the system. + Communicate effectively with a team of 8, handling multiple tasks in a fast-paced environment. Essential Skills + 3+ years of strong Accounts Payable experience in a high-volume, fast-paced environment. + Experience with complex invoices and statements with multiple line items. + Proficiency in processing and coding invoices, as well as processing electronic and check payments. + Strong Excel skills, including pivot tables and sorting. + Excellent attention to detail and organization skills. + Ability to follow up on the status of invoices and rectify discrepancies. + Service-oriented with high personal standards and a hands-on work style. + Comfortable managing multiple tasks and deadlines simultaneously. + Experience in a professional office environment with transferable AP experience. Additional Skills & Qualifications + Degree in Accounting or Finance. + Experience in a complex AP environment with strong research and communication skills. + Ability to work in a fast-paced team and adapt to changing workloads. Work Environment Starting January 6th, 2025, for the first 90 days, contractors located in San Diego county will be required to come into the office three times a week. After 90 days, in-office attendance will be required once a week based on workload. Non-local candidates will rotate into the office for half a day every other week after the initial 90 days.
