The Accounting Specialist will be responsible for accounts payable functions for UPOL, NA in the U.S., Canada and Puerto Rico. Additionally, the role will assist in other activities such as payroll verification and new employee setup.
As an Accounting Specialist you will:
Post invoices received by email and mail into Magic (UPOL’s management system).Assist Credit / Finance Manager in resolving disputes and claims within the accounts receivable group.Pay Washington State Tax the beginning of each month. Manage NA team’s American Express Card process including entering approved expenses in Magic and reconciling AMEX account online each month.Oversee NA team’s Concur expense reporting—insure employees are up to date on submitting applicable expenses.Manage WEX invoice process which is UPOL’s fuel card system for employees that travel.Manage office supply procurement through Staples Technology system including laptop replenishment. Also manages setup of laptops for new employees through UPOL IT.Secure business cards for UPOL NA team through Globe Printing.Assist with new employee setup: When a new employee starts, the Accounts Payable Specialist places an order for a laptop, AMEX, WEX & business cards.Complete monthly sales commission payment process to Sales Rep Agencies.Manage payroll, i.e. vacation and sick time tracking and reporting each week.Manage ARGUS invoice process which (freight charges).Prepare quarterly GST tax to Canada. Manage yearly vacation schedule for employees. (PTO, sick, bereavement).Required:
Bachelors’ degree in Accounting, Business or related required.5+ years of experience in AP (Accounts Payable) may be accepted in lieu of degree.Advanced Excel experience including working with large data sets, Pivot Tables, V-Lookups etc.Preferred:
Excellent verbal and written communication skills.Ability to adapt and work within a small team environment.Desire and drive to grow in this role.Our Company:
