Accounting Specialist

Objective:

This role is responsible for managing and accurately billing all contract customers, supporting effective collaboration with the Operations team, and maintaining essential contract and financial records.

Essential Functions:

1. Collaborate closely with Operations staff to ensure timely and accurate contract and janitorial extra charge billing and related independent contractor pay. This includes invoicing activities and accounts payable entries in the Accounting system.

2. Maintain contract database with up-to-date contract details, including setup, cancellations, increases, decreases, amendments, and operational assignments.

3. Update and manage the Growth Chart for tracking contract expansions and business growth.

4. Process contract invoices and ensure accurate and complete contract master files.

5. Prepare and process performance bonds for applicable contracts.

6. Conduct monthly reconciliations for sales tax, in-house labor analysis, and the master floor care schedule.

Additional Responsibilities:

1. Review, edit, and update financial and contract reports as needed.

2. Adhere to monthly reporting and reconciliation deadlines.

Education

Associate Degree in Accounting, Business, Finance, or equivalent work experience.

Experience

3–4 years of accounting experience, specifically in accounting support roles, including billing and reconciliation tasks.

Knowledge, Skills, and Abilities

Proficiency in Microsoft Office, especially Excel and Outlook.Competency with Adobe Acrobat for managing and sharing documents.Familiarity with automated accounting software; experience with Dynamics Business Central preferred.
