Accounts Executive (Accounts Payable, Supplier Onboarding, Travel & Expense)

Scope:

This role will manage day-to-day accounting tasks related to Supplier creation/onboarding, and theTravel and Expense (T&E) process

Our current technical environment:

Software: Prior usage of workday tool will be added advantage

What you’ll do:

Responsible for processing Accounts Payable activities such as Supplier onboard and Travel & ExpenseDemonstrates good understanding of the process and tool.

What we are looking for:

3-5 years of experience in Accounts Payable, Supplier Onboarding, and Travel & Expense management.Accurately process supplier set up in the system.Adhere strictly to supplier setup protocols without deviation.Collaborate with procurement and the AP team to obtain necessary details for supplier onboarding.Monitor daily supplier setup requests and prioritize urgent or high-priority requests.Review supplier documentation and proactively reach out to the business or suppliers if discrepancies are identified.Possess a strong understanding of the end-to-end T&E process.Review employee expense reports, ensuring they align with the Travel and Expense Reimbursement policy, making independent decisions on approval or denial based on the initial review.Approve employee advance requests, track them, and clear advances once employees return from travel.Coordinate with the admin team and travel partners to address forex advance inquiries and ensure the remaining balance is refunded to the employee’s account and the company’s balance is recovered.Provide support to employees regarding T&E-related queries, addressing issues through the mailbox or ticketing system.Ensure all transactions comply with the company’s global travel and expense policy.Participate in company-wide initiatives to improve the Procure-to-Pay (P2P) cycle.Assist during month-end and year-end closing procedures.Monitor overdue expense reports and collaborate with employees to ensure timely processingContribute ideas for process improvements and anticipate potential risks, preparing mitigation plans.
