Accounts Payable Adminisrator/Scheduler
Become an essential part of GFL’s expanding Sudbury team as an Accounts Payable Administrator and Scheduler, where you'll drive efficiency, streamline operations, and support a thriving environment with your organizational skills and proactive approach.



 

Key Responsibilities:

Invoice creation: Generate and send invoices to clients accurately and on time, ensuring adherence to company expectations.  Generate new customers, create job sites, CSA’s, quotes, generate work orders, enter OMS to generate invoice.

Collections and Follow Up: Monitor outstanding invoices, follow up with clients on overdue payments, and resolve any payment-related issues.

Customer Account Reconciliation: Regularly reconcile customer accounts to ensure accuracy and identify any discrepancies for resolution.

AR Reporting: Prepare regular accounts receivable aging reports, detailing outstanding balances and providing insight to management.

Assist with Month End Closing: Assist in the month-end closing process by providing required AR-related information and reports to the accounting team.

Documentation and Record- Keeping: Maintain organized records of all AR transactions, invoices, and correspondences.

Shift planning and scheduling: Create and manage employee schedules based on operational needs, ensuring adequate shift coverage. 

Time-off management: Process time-off requests and adjust schedule as needed to maintain staff levels.

Conflict resolution: Communicate schedules, updates, and changes to team members in a timely and clear manner.

Attendance tracking and reporting: Maintain accurate attendance records and prepare communications to Management on scheduling trends and staffing metrics.

Knowledge, Skills and Competencies:

Minimum 2 years of related work experience in office administration, customer service, or reception

At least 2 years with accounting/bookkeeping experience

Experience with shift scheduling is considered a strong asset.

Ability to maintain a friendly and welcoming personality 

Excellent computer skills with a high degree of proficiency with Microsoft Office (MS Outlook) and willingness to learn new applications

Ability to work autonomously, multi-task, and work in a fast-paced environment

Demonstrated ability to prioritize tasks and manage deadlines calmly with frequent interruptions in an active office

Excellent interpersonal and written communication skills with ability to engage in friendly and professional correspondence with all levels of leadership within the organization

Ability to work well in a team environment

Strong attention to detail and proactive problem-solver

Self-starter with a desire to learn and take on new responsibilities
