Description We are looking for a detail-oriented Accounts Payable Clerk to join our team on a contract basis in Austin, Texas. In this role, you will play a critical part in vendor management, invoice processing, and maintaining compliance with required documentation. This position is ideal for someone with strong organizational skills, a proactive attitude, and the ability to thrive in process-driven environments. Responsibilities: • Review, verify, and approve vendor documentation to ensure accuracy and compliance. • Manage onboarding for new vendors, haulers, and subcontractors, including follow-ups for missing documents. • Handle vendor reactivations, changes, and deactivations as required. • Code invoices for accounts payable processing and ensure timely submission. • Proactively track and follow up on expiring insurance documents to maintain vendor compliance. • Communicate status updates effectively with operations and accounting teams. • Conduct audits on vendors, haulers, and subcontractors to ensure record-keeping compliance. • Verify insurance coverage with agents and provide consultation to vendors on proper documentation. • Collaborate with stakeholders across transportation, finance, and other operational departments. • Process and manage 1099 forms and perform detailed data entry tasks. Requirements • Proven experience in accounts payable, vendor management, or a similar role. • Proficiency in data entry and Microsoft Excel. • Strong understanding of IRS W-9 forms and EFT procedures. • Familiarity with maintaining vendor records and files. • Experience with form 1099 processing and compliance documentation. • Excellent organizational and communication skills. • Ability to adapt to dynamic, process-driven work environments. • High attention to detail and commitment to delivering exceptional customer service.
