Job Summary

Performs a wide range of Accounts Payable and some Accounting tasks. Plans, organizes and participates in Accounts Payable operational activities, including invoice processing, payment process and vendor maintenance. Uses software applications to analyze, identify and resolve statement and unvouchered receipt issues for a broad scope of vendors. Prepares and analyzes different monthly reports ensuring the security and integrity of the data. Conducts research for accounts-payable-related issues and uses existing knowledge to determine payment amounts within established guidelines. Communicates with suppliers and exercises influence to resolve outstanding issues.

Core Responsibilities

Responsible for analyzing and recording invoices and credit memos promptly in the appropriate ERPs for various business units.

Support vendors by tracking inquiries and resolving payment-related questions, including collaborating with Treasury on payment research, while managing AP inquiry mailboxes across business units to ensure timely responses.

Prepare and coordinate payment proposals for O&M businesses using ERP and bank portals, ensuring accurate payment runs to suppliers.

Manage the vendor master data by setting up new vendors and/or making changes to existing vendor information based on documentation provided by Procurement or the responsible business user making the request.

Collaborates with Vendors, Procurement, Accounting, etc., to monitor, document, resolve or escalate statement disputes or invoice payment inquiries.

Resolves discrepancies in a timely and fiscally responsible manner to ensure payments are sent accordingly.

Prepares daily, weekly, monthly, quarterly and year-end reports used for reconciliation and reporting.

Follows up AP open items result of internal or external reports, inquiries or special requests.

Resolves supplier inquires related to invoice payment, invoice terms and cash applications; evaluates Accounts Payables (AP) processes and recommends improvements.

Conducts research for internal audit and review of AP issues.

Develops, prepares and/or assembles reports, charts and graphs, as required.

Provides guidance and training to teammates.

Prepare/Document SOPs and work instructions for AP processes.

Qualifying Experience

Associate’s degree in Accounting or Finance or work experience

1 - 2 years of related accounting work experience strongly preferred

1 or more years of Accounts Payable experience including issue resolution strongly preferred

Must demonstrate the ability to work cooperatively and collaboratively as part of the AP Team

Knowledge, Skills & Abilities

Effective written and verbal (including interpersonal) communication skills

Must demonstrate the ability to prioritize activity and work independently

Strong analytical skills with the ability to discern errors within complex and detailed work

Strong independent problem solving skills

Ability to work with MS Excel spreadsheet at an intermediate level

Ability to work within and meet deadlines and to perform under pressure
