Responsibilities Accounts Payable Specialist/Coordinator-FT Opportunity West Oaks Hospital has provided psychiatric care to the Houston area and surrounding communities for over four decades. Our 176-bed acute care facility is fully accredited and included a 16-bed residential treatment center for adult chemical dependency. We offer a broad range of behavioral health programs for children, adolescents and adults. Visit us online at: https://westoakshospital.com/ West Oaks Hospital is seeking a dynamic and talented full-time Accounts Payable Specialist/Coordinator to join our team of compassionate, dedicated professionals. The Accounts Payable Specialist/Coordinator will provide assistance in the accounting department with general ledger, payroll, accounts payable and be responsible for analyzing expenses to ensure that cost are coded properly. Job Duties/Responsibilities: Coordinate the Accounts Payable processes for the hospital which include coding invoices, check request and business expense reports. Ensure that all Accounts Payable have the required documentation, pricing has been verified, payment terms met and authorizations obtained prior to entering into the A/P system. Invoices should be entered into the system timely for payment to be processed. File and maintain all Accounts Payable vendor files. Run checks bi-weekly and as needed to ensure payments are made timely. Data entry of all in-house invoices prior to last work day of each month. Reconcile open invoice listing with Controller to ensure that the listing ties to the general ledger. Prepare month end journal entries that are the responsibility of this position per the required deadlines. Prepare month end reconciliations in the financial package that are the responsibility of this position per the required deadlines. Assure accuracy and integrity of general ledger and accounts payable data to make sure that the Hospital is in compliance with all accounting standards and generally accepted accounting principles. Responsible for tracking all CARPAC’s and ensuring that once the CARPAC is completed that the costs are transferred to the appropriate Fixed Asset. Responsible for recording depreciation each month and reconciling Fixed Assets to the general ledger and FAS report. Assist as back up for processing Payroll. Entering time corrections, time off forms and doing the actual payroll when needed. Back up to Purchasing which includes writing purchase orders, obtain purchase order approvals, call and place order with vendor, receive deliveries, check in deliveries, distribute delivery to departments, send all purchase order paperwork to accounting. Coordinate annual physical inventory. Assist with setting up inventory forms, assist with test counting. Ensure that all inventory sheets are submitted to accounting. Record necessary journal entries adjust general ledger to match physical inventory. Performs other duties as assigned.
