Job Description

This role involves performing invoice entry and management, vendor maintenance, preparation of payment selection reports, credit card and fuel card reconciliations, cell phone bill reconciliation, and ensuring vendors are paid within terms. The position demands a highly organized and detail-oriented professional.

ResponsibilitiesReview purchase orders, check requests, and documentation for completeness and compliance with financial policies, procedures, tax requirements, and contractual requirements.Match original invoices and requests for payment with internal purchase orders and receiving documents.Manage payments to subcontractors to ensure adherence to agreements and proper retainage retention.Ensure vendor credits are applied correctly.Code, verify, and electronically enter accounts payable data into ledgers.Code payments to correct contract numbers and cost codes.Follow up on account statements and discrepancies regarding payment of accounts, and serve as a liaison between the accounting department and vendors to resolve administrative problems and inquiries.Respond to vendor inquiries promptly and professionally.Ensure compliance with accounting policies, procedures, and internal controls.Cross-train for payroll processing and serve as a backup when needed.Assist with clerical and administrative tasks, including answering phones, filing, and internal office supply ordering.Essential SkillsAccounts payable expertise with a minimum of 2 years experience.Invoice processing proficiency with at least 2 years of experience.Vendor maintenance skills with 2+ years of experience.Proficient in reconciliation, data entry, and three-way matching.Additional Skills & QualificationsExperience in the construction industry is a plus.An Associate's Degree is desirable.Work Environment

This role is on-site five days a week from 8am to 4:30pm with no remote work option. The work environment features a small, engaging team with flexible hours and a focus on accountability rather than strict clock punching. Benefits include vacation, sick time, personal days, paid holidays, and potential eligibility for benefits upon becoming a permanent employee with a minimum of 30 hours per week.

Pay and Benefits

The pay range for this position is $25.00 - $25.00/hr.
