Job Description
This position involves performing invoice entry and management, maintaining vendor accounts, preparing payment selection reports, reconciling credit card and fuel card transactions, and ensuring timely payment to vendors. The role requires a highly organized and detail-oriented individual.
Responsibilities
+ Review purchase orders, check requests, and documentation for completeness and compliance with financial policies, procedures, tax requirements, and contractual obligations.
+ Match original invoices and payment requests with internal purchase orders and receiving documents.
+ Manage payments to subcontractors, ensuring adherence to agreements and proper retainage retention.
+ Ensure vendor credits are applied correctly.
+ Code, verify, and enter accounts payable data electronically into ledgers.
+ Code payments to correct contract numbers and cost codes.
+ Follow up on account statements and other discrepancies regarding payment of accounts, acting as a liaison between the accounting department and vendors to resolve administrative issues.
+ Respond to vendor inquiries in a timely and professional manner.
+ Ensure compliance with accounting policies, procedures, and internal controls.
+ Cross-train for payroll processing and serve as a backup when necessary.
+ Assist with clerical and administrative tasks, including answering phones, filing, and ordering internal office supplies.

+ Associate's Degree
+ Experience with Sage 100
Work Environment
This role requires on-site presence five days a week, with working hours from 8 am to 4:30 pm and some flexibility. The team operates in a small, engaging environment where accountability is prioritized over clock-watching. Benefits include vacation, sick time, personal days, paid holidays, and flexible hours. The position requires a minimum of 30 hours per week to retain benefits upon becoming a permanent employee.
Pay and Benefits
The pay range for this position is $25.00 - $25.00/hr.
