Job Description
The AP Specialist performs a variety of centralized accounting activities for the Operational Finance’s Shared Services Department. This candidate assumes responsibility for the entering and reconciliation of all vendor invoices for specifically assigned branch locations.
ResponsibilitiesManage the branch invoice email inbox, and upload invoices into Viewpoint as needed.Review and enter invoices into Viewpoint on a daily basis, while verifying pertinent information related to assigned purchase orders and proper general ledger coding.Reconcile vendor statements to open payable reports on a monthly basis.Escalate information regarding past-due invoices when required.Create, review, and issue purchase orders on an as-needed basis.Review, monitor and enter downstream contracts and agreements for the department, ensuring compliance from a risk perspective in the areas of legal, insurance, and limits of authority.Coordinate with branch management and the company’s legal department for any changes to contracts and agreements.Review and prepare purchase agreements, subcontracts, and other contracts as required.Monitor the status of all pending contracts, and organize and track all fully executed agreements.Familiar with Accounts Payable invoicing and matching with Purchase Orders.Collect insurance requirements, release of liens, and other qualifying documents needed for compliance with vendors, customers, etc.Analyze proposed changes to terms and conditions and coordinate approval by branch management and the legal department, as determined by the Company’s limits of authority.Enter and commit all purchase agreements, subcontracts, and vendor contacts into Viewpoint.Collect downstream insurance requests.Essential SkillsBasic computer proficiency, with a willingness to learn business-specific systems.Must be organized, attentive to detail, and able to effectively communicate with diverse audiences.Demonstrated ability to maintain quality of work in a fast-paced, deadline-driven environment.Capacity to resolve problems independently under limited supervision.Additional Skills & QualificationsAssociate’s/Bachelor's Degree in Accounting or a related field.Previous A/P experience in the construction industry.Prior experience with Viewpoint software.Experience in taxes is a plus.Work Environment
Hybrid role with 2 days in office (Tuesday and Thursday) and work from home on other days. The role offers an opportunity to be part of a new department and grow with the company.
