Description We are offering a long-term contract employment opportunity for an Accounts Payable Specialist in the metal fabrication industry located in GREENVILLE, Pennsylvania, United States. As an Accounts Payable Specialist, you will be performing critical tasks in managing vendor payments, ensuring precision in financial transactions in a high-volume manufacturing environment. This role demands strong organizational skills, meticulous attention to detail, and the ability to manage complex purchase orders, freight charges, and inventory-related invoices.
Responsibilities:
• Verify, reconcile and process a multitude of invoices, including those related to raw materials, equipment, and services.
• Ensure accuracy by matching invoices to purchase orders, packing slips, and receiving reports.
• Maintain robust relationships with suppliers, providing clear communication on payment terms and efficiently resolving any discrepancies.
• Manage inquiries regarding payment status and offer prompt resolution to vendor issues.
• Schedule and prepare payments through check, ACH, or wire transfer in accordance with payment terms.
• Regularly reconcile vendor accounts and manufacturing-related expenses.
• Monitor early payment discounts and other cost-saving opportunities.
• Prepare and analyze accounts payable reports, including aged payables, accruals, and month-end closing entries.
• Collaborate with procurement and inventory teams to ensure accurate reporting of material costs.
• Maintain accurate records and documentation for audits and regulatory compliance.
• Monitor and process invoices tied to inventory purchases and manufacturing operations.
• Support month-end and year-end close activities, including accrual calculations for raw materials and work-in-progress costs.
• Identify opportunities to optimize accounts payable workflows, particularly related to inventory and manufacturing costs.
• Stay informed about industry trends and best practices in accounts payable processes.
• Gather W-9 forms from all vendors, contractors, and payees. Verify the accuracy of Tax Identification Numbers (TINs) and other required details.
• Cross-check vendor payments to determine eligibility for 1099 reporting.
• Ensure all payments marked for 1099 reporting are accurately flagged in financial systems. Requirements • Proficiency in Account Coding is essential for accurate financial record keeping.
• Advanced knowledge of Accounting Software Systems is required to manage financial data effectively.
• Familiarity with ADP - Financial Services is needed to handle payroll and other related operations.
• Experience with Concur, a travel and expense reporting system, is necessary for accurate expense management.
• Understanding of ERP - Enterprise Resource Planning is fundamental for efficient business process management.
• Ability to perform all essential Accounting Functions is crucial for maintaining financial integrity.
• Proficiency in handling Accounts Payable (AP) is required to ensure timely payment processing.
• Knowledge of Accrual Accounting is necessary for accurate financial reporting and forecasting.
• Auditing skills are required to ensure compliance with financial regulations and internal policies.
• Experience with Automated Clearing House (ACH) transactions is needed for efficient electronic fund transfers.
