Job Title: Accounts Payable Specialist
Job Description

We are seeking a detail-oriented and proactive Accounts Payable Specialist to manage multiple locations alongside other AP specialists and the AP Manager. The ideal candidate will handle the daily management of the AP inbox, ensure accurate processing of bills, and maintain strong relationships with vendors and employees.

ResponsibilitiesManage multiple locations with other AP specialists and the AP Manager.Manually manage the AP inbox daily, ensuring bills are entered into Chase360.Respond to internal and external emails promptly.Reconcile Vendor AR Aging to vendor payable balances.Review new and updated vendor documentation for the AP Manager.Organize emails into correct folders and follow up as necessary.Accurately process bills and ensure proper general ledger coding of invoices.Perform accounting duties such as account maintenance, recording entries, and reconciling books of accounts.Establish and maintain good working relationships with employees and vendors.Verify vendor accounts, pay vendors, and resolve invoice or payment discrepancies.Ensure check requests and employee expense reports are supported with proper documentation.Download online invoices to prevent late payments.File paperwork correctly within the filing system or digital systems.Assist with W9’s and 1099s to ensure proper tax reporting.Stay informed of regulatory requirements and best practices in accounting.Assist in special projects as needed.Work overtime as required.Essential Skills3+ years of Accounts Payable experience.Strong communication skills.Comfortable with change and adapting to new processes.Experience with an ERP system larger than QuickBooks, such as Netsuite ERP.Additional Skills & QualificationsProficiency in Excel is a plus, willingness to learn and be trained.Experience processing a high volume of invoices (100 invoices/day).Familiarity with 3-way match processes preferred but not required.Work Environment

This position is fully onsite. The role involves manual data entry and processing a high volume of invoices daily. The work environment encourages collaboration and maintaining strong relationships with both vendors and employees. Overtime may be required as needed.

Pay and Benefits

The pay range for this position is $24.04 - $28.85/hr.
