The Maine Health and Environmental Testing Laboratory (HETL) Finance Team is looking for an Accounts Receivable Clerk to complete accounts receivable transactions and processes customer payments. The HETL provides and oversees analytical testing of clinical, environmental, and forensic specimens/samples/evidence to provide surveillance data to monitor public and environmental health. The collected data is used to make policy decisions and emergency corrective actions statewide. This position will provide accuracy, skill, and leadership to the HETL accounts receivable processes. In this position, you will work and collaborate with a team of financial professionals to ensure HETL financial processes are properly recorded and performed. You will be responsible for managing, tracking, and maintaining incoming payments and outstanding invoices for HETL. You will perform weekly billing and work with clients to ensure timely payments on past due accounts. You will be responsible for the daily processing and reconciling of accounts receivable.
Core Responsibilities:
As a key member of the HETL Finance Team, your core responsibilities will include:
• Perform daily processing and reconciling of accounts receivable transactions, including posting and recording of payment information to ensure payments are posted in compliance with financial policies and procedures.
• Facilitate payment of outstanding invoices by sending bill reminders and contacting HETL clients.
• Complete weekly HETL billing and analyze for accuracy and completeness.
• Initiate recommendations for automation to improve efficiencies for accounts receivable.
• Collaborate with the other members of the HETL Finance team on client accounts and financial transactions.
• Develop and maintain tracking spreadsheets to properly account for and manage accounts receivable information and transactions.
• Reconcile the accounts receivable ledger to ensure that all payments are accounted for and properly posted.
• Verify discrepancies and resolve clients’ billing issues.
• Evaluate overdue accounts and work with HETL Business Manager to take appropriate actions on overdue accounts, including collecting overdue payments.
• Organize the distribution of monthly statements, registers, and invoices for mailing.
• Collaborate with DHHS Service Center to resolve revenue posting errors.
Minimum Qualifications:
Entry-level to intermediate education, training, and/or experience in accounting or another closely related field demonstrating competency applying accounting principles, reviewing and processing business transactions, and preparing reports.
Preferred candidates will also have:
• Excellent oral and written communication skills
• Ability to gather, synthesize, and summarize a variety of information and work in varied platforms and databases
• Demonstrated skill applying best practices and standards accounting practices
• Excellent customer service skills
• The ability to establish and maintain effective working relationships with internal and external partners
• Excellent attention to detail
• Expert computer and software skills, including knowledge of Excel and other accounting software (ex. Advantage, MainePays, DAFS Analytics)
• Knowledge of and experience with best practices for government accounting
