Scope of Responsibility:

The Administrative Assistant will communicate professionally both verbally and written and consistently pay attention to detail to prevent any potential errors. This position will provide office services and support by implementing administrative systems, procedures, policies, and monitoring administrative projects. 

 

Essential Duties:

Compile and verify information for accuracy, ensuring proper record maintenance and documentation. Professionally manage all incoming phone calls, directing them to the appropriate personnel as needed. Greet and assist visitors and employees, providing a welcoming and efficient experience. Accurately input receiving data into the ERP Epicor system, generating reports and maintaining schedules. Develop and generate detailed reports and schedules using Excel to support operational and business activities. Monitor third-party revenue and oversee processing for accurate invoicing. Receive and process purchase orders (POs) and reconcile shipments for invoicing purposes. Generate shipping Bills of Lading (BOLs) and create sales orders for materials received. Proactively research and resolve customer-related issues, ensuring timely and effective solutions. Process payments, including credit card transactions, checks, or money orders, from third-party customers. Perform additional administrative duties and support as assigned to ensure seamless operations.

 

Position Requirements:

Education: High School Diploma or GED Equivalent preferred.

 

Experience: 3 years of professional experience managing administrative tasks and supporting daily office operations.

 

Skills & Abilities:

Ability to work in fast-paced work environment and function independently as well as in a team environment.Regular, consistent, and timely attendance is required.Must be able to always maintain a positive and motivational attitude.Ability to read, write and speak in English required.Ability to communicate information and ideas so others will understand.Ability to plan, organize, pay attention to details and multi-task in a fast-paced work environmentFlexibility to shift back and forth between 2 or more activities.Proficiency in MS Office (Excel, Word, Outlook, etc.) and Adobe Acrobat.

 

Physical Requirements:

 

Must be able to remain in a stationary position for extended periods of time with the ability to move throughout the office or outside manufacturing plant as needed.  May be required to lift to 10 pounds occasionally.Must be able to perform physical activities that require substantial use of fingers, hands, wrists, and arms, such as sitting, typing, picking, pinching, using office equipment and reaching.  Some additional physical activities may require walking, stooping, bending, twisting, and handling of materials.Perceive the nature of sounds at normal speaking levels with or without correction. Ability to receive detailed information through oral communication and to make the discriminations in sound.Must be able to ensure tone, body language, and other nonverbal cues convey the proper respect and attitude toward customers as well as fellow team members.Strive for excellence in service to all customers, vendors, and suppliers.Must have the ability to concentrate on tasks for long periods of time and be able to observe and receive information from all relevant sources. The worker is required to have close visual acuity to perform an activity such as preparing and analyzing data, transcribing, viewing a computer terminal, extensive reading, visual inspection for errors.The worker is not substantially exposed to adverse environmental conditions.
