We are United; By fusing together our creative, intelligence, and technology expertise, we are able to provide clients with transformative ideas and consumer experiences, unlike any other agency or holding company in the marketplace. **Overview** Office Manager is someone who doesn't mind wearing multiple hats - handling a wide range of administrative duties and executive support-related tasks and able to work independently with little or no supervision. Well organized, flexible, and enjoys the administrative challenges of supporting an office of diverse people. **Responsibilities** + Oversee and support all administrative duties of Publicis Groupe Malaysia offices and ensure that offices are operating smoothly. + Attend to the day-to-day running of the offices, perform office inspection. + Manage, maintain office CCTV, meeting room facilities and equipment. Ensure facilities, equipment is in good working order. + To ensure facilities service record documentation is updated. + Coordinate repair, maintenance, office renovation whenever necessary. + Point of contact with facility management, building management including scheduling service appointment, permit application, leading vendors to premise, etc. + Maintain general office supplies inventory by monitor inventory level; anticipating needed supplies; placing and expediting orders; verifying receipt of supplies. + Supervision of office cleaners; their functions are properly assigned and monitored + Courier management including distribute incoming and outgoing mail/parcel. + Create Purchase Order (PO) for purchases and submission of vendor’s invoice for payments. + Manage Accounts Payable transactions with support of Finance related to in-house suppliers/vendors invoices. + Work closely and support HR in new hires onboarding and leavers offboarding processes are completed in an accurate and timely manner. + Manage Employee staff ID tag. Employee attendance data extraction and compilation whenever necessary. + To attend to staff enquiries. Provide general support to visitors. + Assist in company events such as team building, annual dinner, etc. + Assist with office renovation and office move. + Provide administration support to other Business Unit, as maybe required. + Identify opportunities for process and office management improvements for continual operational efficiency + Maintain a safe, secure, and pleasant work environment + Undertake any other duties within the context of the role as may be determined by line manager. + Assume role as one of the members in OSHA (Occupational Safe and Health Association) and ERT (Emergency Response Team).
