HOW AN ADMINISTRATIVE ASSISTANT III WILL MAKE AN IMPACT:

We are seeking an experienced and highly skilled Administrative Assistant to serve as the primary point of contact for all mission support and administrative requirements

The successful candidate will possess exceptional customer service skills, excellent communication skills, and the ability to work independently and as part of a team

This is a full-time position located in the Dulles, Northern Virginia area

As the primary point of contact, the admin will provide exceptional customer service to internal and external stakeholders, interacting with customers to establish and maintain effective relationships

They will respond to inquiries and resolve issues in a timely and professional manner, and arrange for support for various office requirements

This includes managing a shared conference room, reviewing and distributing mail, and handling administrative demands

The Administrative Assistant will also be responsible for greeting visitors to the office, providing orientation and in-processing for new contract staff, and onboard/offboarding officers as required

In addition, they will act as a vault custodian, checking in and out employees, and ensuring they have the required clearances and security updates

They will also be responsible for creating and maintaining office records, including contact lists, phone lists, phone cards, organizational charts, seating charts, inventory lists, and personnel records

The ideal candidate will be proficient in Microsoft Outlook, Microsoft Office, and other software applications, including Sponsor access tracking system, Classification Tool, and Lotus Notes

They will also have an excellent understanding of databases and be able to assist users with access requests and troubleshooting problems

Prior Sponsor experience is preferred, but a willingness to learn and grow is essential

The successful candidate will be trained by members of the platform on all needed systems and will be expected to learn and adapt quickly

The Administrative Assistant will support event/meeting planning on an ad hoc basis, manage multiple calendars, and maintain and update a shared drive

They will act as the coordinator and focal point for a review panel process, working with stakeholders to ensure timely scheduling and processing of approval panels

The position is located in a traditional office setting with no flexible workspace options available

The candidate will be required to work in a dynamic environment with multiple priorities and deadlines

On-the-job training will be provided for specific tasks and systems, and the candidate will be expected to learn and adapt quickly to new processes and procedures

WHAT YOU'LL NEED TO SUCCEED:

The position requires an active Top Secret/SCI with Polygraph security clearance

The position requires High School Diploma and three (3) years of relevant experience or equivalent combination of education and experience

They will also be required to work during core hours (0900am -3:00pm) and be punctual

Candidate must be able to operate in a team environment as well as successfully work on their own

This position is on customer site

The likely hourly rate for this position is between $27.82 - $34.50. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
