Responsibilities: + Performs project clerical and administrative details to ensure that all contractual and legal mandates are met. + Maintains contract files and records. Prepares contract correspondence, manager reports, and schedules. + Answers the phone and directs calls for the department or location. + Checks mail and distributes to appropriate recipients. + Schedules appointments and meetings for management. Prepares agendas. Prepares and sends faxes, e-mail and mail as required. Proofreads documents and reports as needed. + May perform secretarial functions as needed. + Administers accounting data, payroll, and personnel records. + Verifies Driver hours and responds to basic inquiries related to work hours. + Enters data from various sources to maintain and update various databases and spreadsheets. + Ensures data integrity by verifying input and calculations. + Inputs and extracts data from fleet MIS system to provide data to management and the Client. + Administers retail fuel cards and reconciles all transactions. + Coordinate employee benefits at the contract level. + Assists with compiling and filing Drivers’ route information. + Maintains inventory of departmental office supplies. + Posts Driver notifications. + Maintains organized computer and/or hard copy files for easy identification and retrieval. + Maintains confidentiality of all information. + The above duties are not meant to restrict initiative, but rather to define minimum activities. + These duties may be altered to suit the needs of the company as required. Education, Licensing, and Certifications Required: + High school diploma or equivalent (G.E.D.). + 2-year college degree or higher preferred. + Must have a Driver’s License valid in the United States Experience Required: + Minimum of (1) year of experience in general office practices and procedures. Skills and Knowledge Required: + Ability to work independently with general supervision. + Must have a high level of proficiency with Microsoft Excel and other Microsoft 365 software. + Ability to quickly learn and use new software programs. + Must demonstrate ability to pay close attention to details, and present good planning, organization, and time management skills. + Excellent communications, interpersonal, confidentiality and organizational skills. + Ability to read and comprehend instructions, short correspondence, and memos. Skills and Knowledge Preferred: + Knowledge of payroll practices. + Knowledge of transit systems. + RECONS Pre-Employment Requirements: + Must successfully pass drug testing, criminal background check, and other background checks.
