**POSITION DETAILS**
Reporting to the Assistant Vice President for Student Affairs and Enrollment, the Administrative Executive Assistant is essential in facilitating the daily operation of the enrollment – related offices with the division. The ideal candidate will demonstrate exceptional organizational skills, attention to detail, and the ability to handle sensitive information with professionalism and discretion.
In addition to the CUNY Title Overview, the Administrative Executive Assistant responsibilities include but are not limited to the following duties:
- Act as the principal administrative support for the AVP by managing calendars, and scheduling meetings, and prioritizing daily tasks. Serve as a liaison between the AVP, department staff, and external stakeholders, ensuring clear and effective communication.
- Collaborate with enrollment offices to assist with budget management, purchasing processes, and daily operational support.
- Support the AVP in the planning and execution of key enrollment projects including committee meetings, data analysis, and presentations.
- Arrange logistical support for major campus events, such as orientation, admitted student days, and commencement, ensuring the coordination of all details are managed effectively.
- Serve as the first point of contact for inquiries directed to the AVP; delivering exceptional customer service to students, parents, faculty, and staff, addressing concerns and fostering positive relationships
- Provide strategic coordination for specialized student groups, leveraging project management skills to engage multiple stakeholders across the division, addressing complex needs and enhancing student success.
**QUALIFICATIONS**
Bachelor's Degree and four years' relevant experience required.
**PREFERRED QUALIFICATIONS**
· Experience dealing with complex student situations.
· Ability to approach issues holistically with discretion and confidentiality.
· Passionate about student success and student service
· Proficient in Microsoft Office 365 Suite (Word, Excel, PowerPoint, Outlook, Teams) and comfortable learning new software platforms (e.g., CRM and Student Information Systems).
**CUNY TITLE OVERVIEW**
Provides support to a Campus or University Executive, organizing and supervising unit activities.
- Creates appointment and meeting schedules, arranges meetings, and prepares for a variety of special events. Maintains an ongoing calendar of reports, deadlines, and key dates and incorporates these into a schedule.
- Coordinates Executive communications, including those requiring a high degree of sensitivity. May respond to public inquiries as well as requests from within the Campus/University community.
- Organizes, creates, and distributes key, complex management reports with a high degree of accuracy.
- Organizes, manages, and tracks written and email correspondence, maintaining logs and records of follow-up activities.
- Procures required internal and external resources and services and manages their utilization.
- May supervise office staff, performing basic Human Resources functions such as recruiting and interviewing.
- May perform related duties as assigned; may participate in special projects and efforts to improve unit effectiveness.

Salary commensurate with education and experience $62,411-$72,667.
