Job Description

Your Responsibilities

Responsible for answering phones, greeting customers, and keeping the office and bathrooms organized and clean. Will help direct service calls, and assist in keeping filing system accurate. Responsible for all reporting and administrative tasks associated with the generation of work orders. Will learn to process work orders in a timely and efficient manner.

Responsible for Order Management activities (includes creating new orders, change orders, warranty and repair orders and order cancellations).

Operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems and personal computers. 

Receive, direct and relay telephone messages and fax messages. 

Compute, record, and proofread data and other information, such as records or reports.  

Maintain and update filing, and database systems, using a computer. 

Open, sort and route incoming mail, answer correspondence, and prepare outgoing mail.

Review all work orders, files, records, and other documents to obtain information to respond to requests.

Communicate daily with key stakeholders (Scheduler, Sales Staff, and Production Staff).

Review customer schedules to monitor upcoming jobs. 

Manage and organize signed Work Agreements, Sales Takeoffs, and sales quotes and place and book orders as necessary.

Additionally

Supervisory or Management Responsibility – Not responsible for supervising (hiring, firing, performance reviews or corrective action) others.

Budget Responsibility - Has no budget responsibility.

Decision-Making Level and Scope – Decisions generally affect own job or specific functional area.

Independence of Action – Work progress is monitored by supervisor/manager.  Follows precedents and procedures.  May set priorities and organize work within general guidelines established by supervisor/manager who is available to resolve problems.

Your Skills

Excellent analytical and problem solving skills.

Strong attention to detail, demonstrated integrity and professionalism.

Excellent communication skills, both written and verbal.

Must have good mathematical skills including the ability to perform calculations, ability to create, consolidate and modify work order information.

Proficient in Office Software like word processing, and spreadsheets.

Knowledge of ERP Systems a plus.

Requires self-management and project management ability.

Your Qualifications

Minimum of 18 years of age.

If operating a Company Vehicle, a valid driver’s license will be required.

Minimum experience: 1-3 years.

Special Requirements:  Prior experience with work orders a plus. 

Must be detail oriented, excellent communicator, highly organized and able to follow detailed instructions.

Education

Minimum Degree:  High School Diploma or GED.

Travel Requirements

Physical Requirements

Work is performed in a typical office environment and may require standing, bending, lifting boxes or packages under 10 lbs., and remaining in a stationary position for long periods of time. Work requires regularly inputting/retrieving words or data into or from an automated/computer system.
