Administration and Operations Assistant | For Pooling

This Administration and Operations Assistant reports to the Insitute Director of Le Cordon Bleu Ateneo and provides administrative and logistical support to the daily operations of the Institute. S/He helps in ensuring orderly and efficient operations.
Main Duties and Responsibilities:
Administration and Finance:
Prepares orders for checks, purchase requisitions, justification forms, and other related documents Conducts inventory, record-keeping, and ordering of office supplies, student uniforms, and student knife sets Tracks and follows up payments from students Coordinates with Program Sales Officer to check submitted reports for student payments, and appropriate updating of the LCB EM portal Handles the revolving fund replenishment administrative processes Processes incoming and outgoing bills and documents Assists in HR-related matters such as monitoring of time-keeping, information dissemination, scheduling of interviews, timekeeping, posting of job vacancies Helps the supervisor in preparing reports by collating complete and updated data Coordinates with outside contractors, suppliers, and other University units for matters related to the above Performs administrative tasks such as printing, encoding, and filingOperations:
Oversees the physical lay-out and set-up of venues for events such as open-houses and short-courses Monitors status of facilities, promptly reports to Supervisor any problems and coordinates with necessary parties for immediate repairs Assists in property management by regularly checking facilities, scheduling and coordinating for maintenance works Orders cleaning and maintenance supplies of the Institute’s kitchen laboratories and facilities Coordinates with outside contractors, suppliers and University units for matters related to the above Performs other tasks and assigned that may be assigned from time to time
