POSITION OVERVIEW

Under general direction of the Plant Manager, the Administrative Assistant at the Dallas Plant will perform high-level administrative and business support of a complex and confidential nature for the site Senior Leaders..

RESPONSIBILITIES

Positively represent McCormick and Dallas Plant in greeting or receiving visitors and provide information regarding business matters as appropriate. Ensure accuracy of own work and accuracy of work prepared by others for submission to high levels of the organization for senior leaders. Assist with managing site badging processes to ensure employees, visitors, customers, and auditors are given correct accesses to site facilities. Distribute and ship mail and packages to respective parties and manage office supplies for office spaces and mailroom. Ensure high level of service for visitors to include managing visitors schedule, coordinating travel and meeting room spaces, and managing catering services for high-level visits. Assist with site onboarding activities from creating material, to helping process new hire documentation as well as assist with the creating/filing of new hire and internal employee documents. Apply high level of PC application skills, including word processing, development of spreadsheets and databases, and presentation of materials. Exercise judgment with respect to urgency, confidential information, and potential problems. Maintain and update weekly, monthly, and annual system data and reports. Manage plant tour requests, office supply management, bulletin board and file maintenance, employee communications, and community service events. Provide employee customer service, process incoming mail, screen, and direct telephone calls.

REQUIRED QUALIFICATIONS:

High school diploma or equivalent Minimum 3 years’ experience in an administrative and/or business support role Proficiency with Microsoft Word, PowerPoint, and Excel Experience preparing spreadsheets, charts, and graphs Experience creating presentations Aptitude for learning new job-specific computer systems Excellent written and verbal communication skills Ability to multi-task, prioritize competing work demands, plan and organize work to meet scheduled deadlines Well-developed organizational skills, including paper and electronic filing systems Strong customer focus with an approachable and helpful demeanor Experience being proactive and timely in responding to requests Excellent attention to detail and high degree of accuracy in all work Ability to exercise discretion and manage confidential material and information. Professional, positive, service-oriented behavior in all interactions Ability to anticipate and initiate cyclical activities Proven complex problem-solving and independent judgment abilities Ability to complete projects with limited supervision

PREFERRED QUALIFICATIONS:

College coursework or specialized training Proficiency with an ERP system, ideally SAP Proficiency with an email software system such as Lotus Notes, Outlook or related Have an interest in employee engagement planning
