Administration Assistant - São Paulo
JOB SUMMARY: Under the direction and guidance of the Technical Manager, the Engineering Administrative Assistant is responsible for duties related to design release and project administrative actions, to include distribution of Engineering packages, maintaining electronic drawing files, maintaining Project Binder and Manual files, creating electronic project folders and maintaining project files, SAP item creation updates, and other administrative needs for the Engineering department including customer safety form fulfillment and management. ESSENTIAL DUTIES AND RESPONSIBILITIES + SAP System Operations + Manage and update data in the SAP system to ensure accurate project tracking and reporting. + Collaborate with cross-functional teams to ensure proper documentation and information flow within SAP. + Safety Training Coordination + Maintain up-to-date safety training records and communicate updates to relevant stakeholders. + Customer safety form fulfillment and management. + Administrative Support + Sort and distribute incoming mail and internal documents for the Engineering Department. + Drawing and Documentation Management + Create and release electronic drawing files for direct issuance to fabricators and Crown global offices. + Electronically stamp and label PDF drawing files with project issue information. + Compile and transmit PDF file packets, track released documents, and maintain accurate records. + Serve as the primary contact for drawing issuance processes at Crown - Blaine HQ office. + Maintain project folder, binder, and equipment manual record-keeping systems, including hardcopy and electronic filing. + Maintain the drawing hardcopy vault library and create drawing reference hardcopies for project folders Perform other administrative duties as required and assigned. QUALIFICATION AND SKILLS + Minimum High School Diploma or EJA educational requirements. + Minimum 1+ years in related Administrative and Document Control experience. + Strong organizational skills and the ability to maintain accurate records and files. + Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant computer applications. + Demonstrates professional integrity and ethics. + Able to establish and maintain effective working relationships with others. + Must be able to communicate in English fluently. Ability to communicate in a second language (SPANISH language) is a benefit, but not required. + Good written and verbal communication skills; able to understand and follow oral and written instructions; communicate information clearly and concisely.  + Ability to work independently on assigned tasks. + Familiarity with safety training protocols and compliance requirements is a plus.
