Key Responsibilities:
As the Administration Coordinator, you will play a crucial role in ensuring the smooth and efficient operation of administrative tasks that support the organization's mission. Your responsibilities will span across various areas, including procurement, office management, staff support, and personal management, all of which are essential to maintaining high standards of compliance and operational excellence.
Major Responsibilities
Procurement and Supply Chain
Timely planning and project management for all administrative requirements for PR and provincial-level interventions.Facilitate procurement requests for the departments at the National Office.Support the GSD with the issuance and closure of Purchase Orders (POs) for projects and departments.Ensure monthly submission of financial transactions, specifically invoices, within financial and administrative policies and procedures.Assist the Administration & Logistics Supervisor in ensuring compliance with administrative and finance policies.Participate in contract negotiations and manage timely payments of multiple technical consultants.Travel to provinces as needed and assist in training new staff on WV Admin processes.Office/Admin Support
Ensure adherence to security protocols and procedures in the day-to-day operations of the National Office.Manage support services staff and maintain office premises, ensuring stock levels for supplies are well-maintained.Explore and manage office and housing lease agreements for international assignees.Track and process passports, visas, and work permits, ensuring timely compliance with immigration procedures.Oversee team house arrangements and maintenance for consultants and incoming international assignees.Staff Support
Develop and maintain good working relationships with service providers to obtain the best rates.Ensure integration of work with other team members in the Administration unit.Personal Management

Required: At least 2 years of work experience in administrative and logistical roles in the private sector, government, or NGOs.Preferred: Certificate/Diploma in Business Administration or Office Management.Competency in using computers, particularly the MS Office suite.Strong oral, written, and interpersonal communication skills.Self-motivated with experience in asset management/safekeeping procedures.Working Environment / Conditions
