As Administrative Officer, you will be responsible for all operations-related administrative duties while providing support to the News leadership team.
More specific duties are as follows:
Approve attendance sheets and develop quality control mechanisms, following up on absences and overtime of newsroom staff as needed.
Ensure that positions are properly coded in staff assignments consistent with the Resource Desk and related compensation information.
Monitor and track staff movements (hires as needed, renewals, promotions, add-rems, terminations, etc.) and execute HR transactions within prescribed time frames. Prepare contracts as required.
Track changes in employment status (primary and secondary assignments, vacancies, abolished positions, etc.).
Field all inquiries of an administrative nature (certain types of compensation, attendance sheets, leave, benefits, etc.), following up or referring employees as needed.
Follow up on employees’ IT access requests as needed.
Optimize administrative procedures on an ongoing basis.
Produce analysis, tables and reports to assist the Operations Support team.
Perform all other administrative tasks.
We are looking for a candidate with the following:
Qualifications:
College diploma in a relevant field (e.g., management, administration)
At least two (2) years’ experience in a related field (administration in a unionized environment)
Skills:
Ability to manage priorities, be organized and work well under tight deadlines
Ability to be thorough, meticulous, accurate, resourceful, discreet, concise, curious and adapt easily to new computer tools
Excellent interpersonal, communication and teamwork skills
Proficiency with Google Workspace and the MS Office suite
Knowledge of Workday and ScheduALL is an asset.
Interest in working with multiple collective agreements
Strong written and verbal communication skills
Solid command of spoken and written French (working language)
Knowledge of English is an asset
