Administrative/Accounting Assistant
Description We are offering a short term contract employment opportunity for a part-time Administrative/Accounting Assistant in Montecito, California. The role primarily involves handling front desk duties, providing customer service, and assisting with accounting tasks in the industry. Responsibilities: • Facilitating efficient phone operations and answering inbound calls • Conducting data entry tasks with accuracy and precision • Utilizing Microsoft Office Suites, including Excel and Word, for various tasks • Assisting with email correspondence and managing files systematically • Generating invoices and ensuring they are sent to clients promptly • Receiving and processing client payments, typically credit card transactions over the phone • Creating vendor bills and ensuring they are sent out as required • Scheduling and executing vendor payments on a weekly basis • Employing QuickBooks for various accounting tasks and maintaining accurate records. Requirements • Proficiency in Customer Service, demonstrating the ability to handle client inquiries and resolve issues promptly. • Proficiency in Data Entry, ensuring accurate and timely entry of information into relevant databases. • Ability to manage Email Correspondence effectively, maintaining detail-oriented communication at all times. • Strong Interpersonal Skills, enabling effective communication with team members, management, and clients. • Experience in Organizing Files, both physically and digitally, to ensure easy access and retrieval of information. • Familiarity with Phone Operations, including answering inbound calls and transferring calls to appropriate departments. • Proficiency in Microsoft Office Suites, including Microsoft Word and Microsoft Excel, to produce documents, reports, and spreadsheets. • Experience with QuickBooks for managing financial tasks, such as invoicing and budget tracking. • Ability to handle high-volume tasks, such as Answering Inbound Calls, in a detail-oriented and efficient manner.
