About The Role

Reporting to Senior Vice President, Global Business Services, Asia Pacific, you will:

Deliver independent and reliable daily secretarial support to the Senior Vice President of GBA, the leader of a business service unit in the Asia Pacific regionProvide administrative assistance to colleagues within the GB Service Unit Asia Pacific in Hong Kong and seek opportunities to optimize administrative operations within the unit

 

How You Will Do It

Provide comprehensive secretarial and project support to the Senior Vice President and the unitManage the Senior Vice President's calendar, including appointment scheduling, coordination with other parties, and preparation for meetings as neededHandle travel arrangements and expense reporting, as well as manage correspondence, including email messages and telephone callsEnsure compliance with payment requisition and order procedures, and follow up on payment processes, including invoices, expenses, and related reports, as well as inter-departmental cross-chargingSupport the preparation and logistics of meetings and assist in the consolidation of presentation materials whenever requiredIndependently manage the daily operations of the office for the unit, focusing on IT, administration, and finance tasks, including:Oversee expense reimbursements, invoices, payment requisitions, and vendor payments, as well as managing vendor registration and inter-departmental cross-chargingDistribute incoming mail and courier services dailyCollaborate with IT and HR to facilitate administrative arrangements for new and departing staff, including managing office assets and providing support for visitors and guestsCoordinate all administrative arrangements for office projects and unit activities, such as on-site and virtual events, webinars, video conferences, and team-building activities, while serving as a primary contact for internal and external communicationsSupport ad-hoc projects and general office duties or other tasks, including organizing project team meetings as needed

 

What We Look For

Bachelor’s degree in business administration, management or a related disciplineMinimum 3 to 5 years of proven experience supporting senior management, preferably in a multinational environment or in a team support roleAttention to details, proactive and self-motivated, with the ability to work independently under pressure and collaboratively as part of a teamMaturity with high degree of professionalism in interacting with a diverse group of people across various cultures, levels and locationsExcellent organizational with a strong service mindset, with the ability to prioritize tasks effectivelyProficiency in Microsoft Office applications and systems for daily office operations, communication and virtual meetings setupsExcellent command of written and spoken English and Putonghua
