Food & Beverage Administrative Assistant

JOB DESCRIPTION

SUMMARY 

The Food & Beverage Administrative Assistant is an essential member of the team. This role aids the Managers by completing administrative tasks in a timely and accurate manner. We are seeking an Administrative Assistant to provide support to the team with their skills and professionalism. This role will include a wide variety of administrative functions.

ESSENTIAL FUNCTIONS

Job duties include; although are not limited to:

Performing clerical duties such as typing, filing, copying, emailing, answering and responding to telephone calls and messagesCoordinating meetings and recording minutesScheduling travel arrangements when neededPreparing departmental communication piecesAssisting in menu design and production for weekly, seasonal, and annual featuresMaintain menu par in outlets, printing replacements as neededAssist with restaurant reservations and OpenTable requestsSupport F&B FOH and HOH operations by preparing purchase orders, assisting with inventory counts, etc.Support restaurant management teams by maintaining MICROS system, programing menu items, updating offerings based on menu changes, etc.Communicate menu changes to property marketing teamCoordinating and maintaining vendor/supplier informationOrdering office supplies and ensuring that the department is adequately stockedEntering data for select invoices and productsSupporting the department with time management on execution of projectsUnifying and maintaining all internal documentsResponding to visitor and guest requests, questions, and concernsFacilitating resolution when possible or referring individuals to the appropriate managerEnsuring all office equipment, printers, and phones are maintained and fully functionalPerform other duties as assigned.

QUALIFICATIONS

High School Diploma or equivalent is required, Bachelor’s Degree preferredOne (1) year experience in an administrative role within an upscale hotelStrong customer service skillsMust have intermediate skills with Microsoft Office products; Word, Excel, PowerPoint, and Outlook, Opera preferredExcellent verbal and written communication skills requiredKnowledge of hotel food and beverage operations preferred

PHYSICAL REQUIREMENTS

Position requires exerting well-paced mobility as well as the ability to maneuver between functions occurring simultaneously. Must be able to bend, stoop, squat and stretch to fulfill tasks. Must be able to lift up to 15-40 lbs. on a regular and continuing basis. Requires manual dexterity, grasping, writing, standing, sitting, walking, repetitive motions, bending, and climbing.
