We are looking for an Administrative Assistant to join us in the exciting work we do in the Internal Audit (IA) Team. This position manages the day-to-day administrative requirements of the Internal Audit team independently and through the application of sound knowledge of the business, strong technical skills, and good judgement. The position works closely with a large team of 10 people and is required to work in the office five days per week.

What Else You Get To Do: 

Coordinate departmental group activities and work with other administrative staff across all ATCO Group of Companies to coordinate cross company initiatives  Provide meeting support by booking meetings and preparing meeting rooms, taking meeting minutes, and ensuring any required documentation is prepared and provided in advance of meetings Book travel including flights, hotel, and car rental where needed and prepare travel itineraries for the traveler Code and process invoices in the Inspyrus system and maintain expenses for team members  Prepare, distribute, and compile the results of Client Surveys Disseminate final audit reports, including filing on Diligent Boardbooks Support team members with the timekeeping process, enter time exceptions, and run monthly and quarterly reports Document management of highly confidential and sensitive information, including management of the IA MS Teams site Support the compiling of information provided to key stakeholders, including the Audit and Risk Committee  Coordinate IA employee onboarding and offboarding activities

Who You Are: 

Minimum of a High School Diploma 5+ years of experience in Corporate administrative support  Proficient with Microsoft suite: Teams, Outlook, Word, Excel, PowerPoint and Sharepoint Balance conflicting priorities: exhibit sound judgment and demonstrate the ability to make reasonable decisions in the absence of direction Exceptional interpersonal, written, and verbal communication skills Meticulous self-starter who enjoys working in a team environment, needs minimum supervision, and is able to cope effectively under pressure with shifting priorities Strong attention to detail and organizational skills Strong work ethic with the flexibility to work overtime as required Proven track record to establish effective relationships across all levels of the business including Board members Demonstrated ability to perform maturely and professionally ensuring complete confidentiality of sensitive and confidential information.
