The Department of Pediatrics at the University of Virginia (UVA) School of Medicine is seeking applicants for the position of Administrative Assistant or Intermediate Administrative Assistant. This role will involve performing project management, clerical, and administrative duties to support several faculty appointments, in addition to providing general administrative assistance for the department. The Administrative Assistant/Project Manager will play a key role in ensuring the success of faculty-led healthcare initiatives by offering organizational and administrative support, enabling faculty to focus on the broader impact of their work. This position will include managing communication, scheduling, documentation, and coordination for faculty-driven projects, while ensuring the smooth execution of healthcare-related initiatives.

The successful candidate will be expected to:
Support the Associate Chairs of JEDI (Justice, Equity, Diversity, and Inclusion) and Community Engagement by managing day-to-day operations, including meeting scheduling, space planning, and event coordination.
Assist with program planning, financial reporting, and procurement for the JEDI and Community Engagement departments.
Coordinate annual community engagement events and assist in the execution of healthcare-related faculty initiatives.
Provide comprehensive administrative support including calendar management, meeting preparation, and correspondence handling.
Organize and manage logistics for workshops, seminars, and other events.
Maintain accurate project records and assist in report preparation for faculty meetings.
Preferred Qualifications:
Experience in grant writing and/or research.
Proficiency with project management tools such as Asana, Trello, or Basecamp.
Strong independent work capability with a collaborative spirit.
Excellent communication, time management, and problem-solving skills.
A proactive attitude with flexibility to adapt to changing priorities.

Experience: At least one year of relevant experience

Physical Demands:
This position is based in Charlottesville, VA and does not qualify for remote work. This position will be in person, on site Monday through Friday. This is a full-time position with a standard workweek, though occasional evenings or weekends may be required for events.
