Essential Responsibilities:
Provide daily reception desk coverageProvide administrative support to the Office Services group and the Team Lead as requiredExecutes daily duties such as answering phones, transferring calls, coordinating mail and courier items, and greeting guestsManages and upkeeps the Office Services general mailboxCommunicates with management, staff, contacts, building maintenance and visitors; and acts as a resource for general inquiries and informationAssists with the booking of meetings when required, booking resources, and notifying contacts of guests and catering arrivalsFacilitates cheque pick-ups and exchanges with staff and couriersSubmit common building maintenance requests as requiredEnsure the cleanliness and inventory of office common areas - kitchens, copy rooms, supply rooms, and boardroomsContact for kitchen orders and inventory suppliesManage reports and tracking spreadsheetsManage office equipment – photocopiers, printers, shredders, etc.Liaise with account representativesVerify invoices and compile billingsAssist in the preparation of meetings and conference callsProvide vacation relief for members of the Office Services teamQualifications:
Minimum 2 - 3 years of experience in a similar Administrative Assistant/Receptionist or related roleAbility to work independently as well as in a teamCreative problem-solving skillsExcellent verbal and written communication skillsEnthusiastic, friendly, approachable and team-oriented personality, with a positive attitudeAbility to effectively multi-task while maintaining a friendly, outgoing and professional attitudeAbility to manage and set priorities; capable of understanding and following written proceduresStrong analytical skills with attention to detail and accuracy; strong organizational skillsExperience with local and international courier shipments an assetConfident knowledge of MS Office and an aptitude for learning various systemsWorking Conditions:
This position would require some light lifting, must be able to lift 20 poundsHours: Monday – Friday 8am – 5pmOffice based out of our Vancouver OfficeCompensation
38,400 - 52,800
This is the expected base pay range for this role. Individual base pay will be determined based on a variety of factors including experience, knowledge, skills, education and location.
