Reporting to the Shipping Coordinator within the Shipping department, the Administrative Assistant, Shipping is responsible for all aspects of executing, recording, and monitoring all outgoing shipments via truck and rail. This role is unique in that you will work a 50/50 split role where half your time will be spent completing the duties of the Administrative Assistant, Shipping, and the other half will be spent in the Warehouse Associate role. This role requires the ability to function with minimal supervision and work with moderate autonomy. Successful candidates for this role will possess the ability to work in a collaborative team environment and have an excellent ability to multi-task and prioritize. To be successful in this role, you must possess excellent decision-making and problem-solving abilities, strong communication and interpersonal skills, and experience working with both internal and external clients across different organizational levels. This position is located at our Kennewick, Washington site and is not eligible for remote work.

 

What you will do (Administrative Assistant, Shipping):

Responsible for all bill of lading data management Verify receipt of all empty HazMat waybills per DOT reg. and inspection sheets for all released tank and hopper cars Create and maintain weekly truck loading schedules in SAP Assist Scalehouse with truck scheduling of AN83 and Nitric Acid Communicate and coordinate with truck carriers and customers for release verification and scheduling needs Be the “go to” person for any Scalehouse issues that may arise (shared with Shipping Coordinator) Issue and maintain Cable Seals Inventory – recording usage & quantites on hand, forward to MM for loading into SAP Cover basic aspects of department responsibility of the Shipping Coordinator in their absence (approximately 20% of the time) Cover Scalehouse when needed Order office supplies for scalehouse and shipping group – through Production Administration Maintain files and general clerical duties Be able to manage daily duties with minimal supervision Being nimble to marketing’s requirements Availability and flexibility to work overtime as required

 

What you will do (Warehouse Associate):

Process all inbound and outbound packages while maintaining accurate inventory  Enter goods receipts in SAP for all orders received Enter checked out stock items in SAP on a daily basis to maintain inventory Ensure the material verification program is being fully executed, verifying all alloy materials received Organize warehouse space, stock items and maintain inventory Off load large shipments via forklift Keep warehouse clean and organized daily Conduct monthly cycle counts of warehouse stock and repairable materials while maintaining current and accurate records Create new stock items and edit current stock items in SparesFinder Liaison within areas of procurement, production, planning, inventory control, logistics and distribution of products Perform other duties as assigned

 

What you will bring:

A minimum of High School Diploma or GED Attention to detail, accuracy, analytical, and organizational skills required Experience with SAP is preferred, Excel and MS Word are required Familiarity with SAP sparesFinder systems is a plus Ability to operate a forklift, hand truck, pallet jack and other warehouse equipment is an asset Previous work experience in the transportation industry (truck or rail) is an asset Ability to lift or move heavy products of up to 50 lbs.
