Are you looking for a fantastic career at Aqua? We have a great opportunity for a part time Administrative Assistant, under the direction of the Fleet Administration Manager. This role will respond to customers, both internal and external as well as assist Fleet Operations Manager and Fleet employees in directing activities associated with maintaining the company’s fleet of vehicles and mechanical equipment and providing general office support. Some duties require confidentially, where trust and accuracy are important.
ESSENTIAL DUTIES:
Answer phones, direct incoming mail, prepare outgoing mail, and order departmental office supplies.Assist in the set-up of all new vehicles, leased, purchased or those acquired through acquisitions into vehicle file folders and Dossier Fleet Inventory, EKOS Fuel Management System and current leasing company programs. Assist in the setup of disposal of all vehicles, provide proper paperwork to various auctions, leasing companies and provide communication of all sale transactions with accounting. Maintain the vehicle inventory in Dossier, Holman, and Pipeline. Prepare the monthly reports in conjunction with the Vehicle Inventory Report.Assist in performing and/or oversee the flow of paperwork in connection with all activities within the department including time sheets.Operate computerized gas-dispensing software (EKOS) which records all gas dispensed at all EKOS fueling locations. Program all the vehicle keys in the system. Keep records of all the active keys by department and make changes when necessary to update and maintain employee and vehicle fuel history. Re-program keys on an as-needed basis when they are lost or damaged.Record all gas dispensed at remote locations along with fuel purchased with fuel cards. Record fueling at remote sites, which requires manual entries into EKOS and Dossier in order to maintain odometer reasonability. Retrieve cost per mile reports. Generate an electronic fuel import weekly from various vendors and import directly into Dossier for fuel & mileage reporting.Maintain and reconcile p-card transactions for repairs and services performed on all outside repairs. Reconcile charges with the state’s various controllers for Fleet charges allocated on the p-card.Process all vendor invoices for capital and operating budgets for all remote service locations with a purchase order in SAP. Expedite these invoices daily and maintain department’s vendor invoice files.Acts as an analyst and provides charts, data reporting, and able to assist with Capital and Operating budgets and Forecast.Compose and prepare general correspondence and presentations.Prepare meeting agendas and record minutes of meetings.Coordinate the Corporate Claims Management vehicle accident program. Coordinate driver training for all employees.Assist in maintaining updated information in the GPS system.Assist with the 1-800-2ADVISE Driver Check program and coordinate training related to the Driver Check program.Assists with other tasks or projects as assigned.QUALIFICATIONS:
High School diploma/GED is required.Candidates having any previous parts of fleet experience, vehicle leasing experience, fleet management software is preferred.Valid drivers license is requiredKNOWLEDGE, SKILLS AND ABILITIES:
